Position Summary:
The Outreach and Services Coordinator will report to the Director of Veteran’s Upward Bound under
the auspices of the Associate Vice President for Academic Affairs. This is a twelve-month, full-time provisional position. (Grant-Funded by
the US Dept of Education)
Veterans Upward Bound (VUB) is a federally funded initiative aimed at empowering qualifying veterans to
transition into post-secondary education with confidence. It offers a comprehensive array of services including academic refresher training
in English, mathematics, and science. Additionally, VUB provides crucial career advising, computer literacy instruction, and even foreign
language support. This program is pivotal for veterans seeking to solidify foundational skills and study habits essential for academic
success at the collegiate level.
The Outreach & Services Coordinator serves as the program’s primary field-based outreach and
recruitment representative across the ten-county service area, working closely with the Director to build visibility, trust, and
partnerships that support participant engagement and success.
Essential Duties and Responsibilities:
Implements the recruitment plan by conducting outreach visits, coordinating recruitment activities, and maintaining consistent follow-up
with prospective participants and referral sources, in collaboration with the Director and Program Specialist.
Strengthens existing
relationships and develops new partnerships with veteran-serving and community organizations to promote participation, academic success, and
postsecondary readiness/transition.
Develops and distributes informational materials and supports the Director with presentations to
internal and external constituencies; ensures messaging is consistent and current.
Supports the Director in developing the strategic
plan for the education component and leads implementation of assigned elements. Develops and maintains the instructional schedule and
coordinates instructor coverage/substitutes as needed.
Assists the Director in preparing the Annual Performance Report (APR).
Maintains participant files and database records, ensuring documentation complies with applicable state and federal requirements. Provides
academic/service data for proposals and performance reports.
Oversees the process for documenting participant progress each semester
and ensures progress evaluations are added to the participant’s Individualized Education Action Plan (IEAP) and program record.
Works
with the Director to improve service quality and program effectiveness. Represents VUB to internal and external constituencies and
participates in TRIO/higher education trainings and conferences as appropriate.
Frequent travel throughout the ten-county service
area is required, including occasional evening/weekend events as needed.
Performs other duties as assigned by the Project
Director.
Knowledge, Skills, and Abilities:
Knowledge of services and resources that support adult learners and
military-connected participants, including common barriers that can impact enrollment, persistence, and goal completion.
Working
knowledge of TRIO/VUB program purpose, documentation expectations, and compliance practices (training can be provided).
Proficiency
with office software and the ability to learn databases and tracking systems quickly.
Strong customer service mindset and
interpersonal skills; ability to build rapport with participants and communicate professionally with community partners and campus
offices.
Strong judgment and problem-solving skills; ability to work independently, collaborate with a small team, and manage
priorities in a field-based environment.
Ability to travel within the ten-county service area and work occasional evenings/weekends
as needed.
Minimum Requirements:
Bachelor’s degree in education or a related area (e.g., counseling,
social work, psychology, sociology, communications, public administration, business, or closely related field).
Minimum three (3)
years of relevant experience working with disadvantaged individuals in an education or community-based setting.
Experience working
with adults individually and/or in group settings.
Proficiency with standard office technology (email, word processing, spreadsheets)
and ability to learn new systems/databases.
Valid driver’s license, reliable transportation, and ability to travel frequently
throughout the ten-county service area (including occasional evenings/weekends as needed).
Preferred
Qualifications:
Master’s Degree in education, or a related/job-related area.
Experience in community
outreach, recruitment, admissions, enrollment services, or partnership development in education or human services.
Experience working
with veterans and/or military-connected individuals, adult learners, or first-generation students.
Familiarity with TRIO programs
(especially Veterans Upward Bound) and/or federally funded grant environments.
Experience giving presentations, leading community
meetings, and representing a program to external partners.
Experience maintaining confidential records and documentation to support
compliance and reporting requirements.
Work Location, Environment, and Physical Demands:
Work is performed in a
combination of settings including the VUB office, community partner locations, schools/education centers, and other sites throughout the
ten-county service area.
Frequent travel is required (including daytime travel and occasional evening/weekend events).
Work
involves regular use of a computer, phone, and standard office equipment.
Duties require the ability to communicate effectively in
person, by phone, and in writing, including delivering presentations to groups.
Position may require the ability to lift/carry and
transport program materials (e.g., outreach materials, event supplies) and set up/tear down for events.
Requires prolonged periods of
sitting and/or standing, walking, and driving; occasional bending, reaching, and stooping may be required.
Must be able to work in
varied environments (office, community sites, event venues) and manage a flexible schedule based on program needs.
