POSITION SUMMARY
The Academic Assistant 1, under general supervision
, provides comprehensive
administrative support for the academic programs, projects, and processes of the assigned departments. The role requires independent
judgment, discretion, and sound reasoning while performing duties of a confidential nature and ensuring compliance with established
organizational policies and procedures. The role requires frequent interactions with internal and external stakeholders is expected, often
involving non-routine matters that demands a high level of tact, diplomacy, and professionalism.
This role operates 11 months out of
the year, with a total of 1,907 work hours annually.
Responsibilities:
Provide administrative support to faculty and teaching
staff, including composing and editing class and research materials, processing accessible course reserves, facilitating classroom teaching
with electronic resources and faculty service responsibilities.
Manage day-to-day office operations, including information resource
for visitors, supervising student office assistants, overseeing departmental budgets, and approving purchases, expenses, and honoraria.
Manage building access and space usage, including electronic access and key distribution.
Serve as a communication liaison
for the department, managing correspondence with on- and off-campus stakeholders.
Maintain and update the department’s online
presence aligning with college standards and coordinate intranet site management with ITS and Communication staff.
Design and
archive promotional materials, such as posters and programs for departments served.
Support faculty recruitment by assisting search
committees, coordinating application processes, scheduling, and logistics for on-campus interviews and search committee activities.
Coordinate and assist with all aspects of meetings, orientation, special projects, workshops, events and conferences for the
academic programs.

Qualifications
Minimum
Qualifications
High School diploma or General Education Degree (GED)
One year or more of experience in an administrative
role
.
Skilled in composition, editing, and proofreading with an emphasis on grammar and punctuation.
Effective
communicator across diverse constituencies using various modes of communication.
Strong customer service and teamwork skills.
Ability to independently manage workloads, prioritize tasks, and meet deadlines in a dynamic environment.
High degree of
accuracy, attention to detail, and minimal supervision required.

Preferred
Qualifications
Microsoft Office Specialist Certification in Word, Excel, Outlook, and PowerPoint
