administrative support for the Radiation Sciences educational program within University of Iowa Health Care and the Department of Radiology
and Radiation Oncology by coordinating and supporting operations. Such operations include coordination of special events and activities,
contract and grant requirements, and policy and procedure changes. This position requires a high level of execution with autonomy,
prioritization, organization, multi-tasking and attention to detail.
Position Responsibilities:
- Serve as
primary contact for general program inquiries. - Coordinate conference, appointments and internal and external meetings; review
calendar in advance to identify conflicts; send out meeting planners and reminders. - Schedule job shadow appointments, review and
store required job shadow forms, coordinate day of job shadow activities. - Process request for medical dosimeters, distribute and
collect monthly dosimeters and dosimetry reports. - Initiate purchasing requests and supply orders.
- Reconcile monthly P-card
statements in compliance with Accounts Payable office guidelines. - Compile student and candidate academic records.
- Coordinate
student application, admission, and onboarding tasks as needed. - Assist HR for initial administrative onboarding of new faculty,
staff and students. - Serve as the primary contact for facilities management in Radiation Sciences Education.
- Assist with
classroom scheduling, assignment of textbooks, and instructors. - Make travel arrangements for faculty and staff.
- Manage
shared classroom and laboratory schedules. - Provide daily management of student attendance and communication to faculty, staff and
clinical areas. - Distribute meeting agendas, record and distribute minutes.
- Evaluate, request and exercise discretion and
judgement in providing confidential information to appropriate parties. - Collect and organize program data and reports as
needed. - Route and distribute miscellaneous documentation to various University departments, colleges and offices.
- Serve as
member of internal and external committees and workgroups as requested. - Other duties as assigned

Education Requirements:
- Bachelor’s degree
in Business Administration or related filed, or an equivalent combination of education and experience.
Experience
Requirements:
- 1-3 years’ experience in an administrative support role for hospital or academic faculty and
leadership. - Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Working knowledge of web-based tools;
databases, internet searches. - Superior written, verbal and interpersonal communication skills.
- Demonstrated experience in
providing superior customer service in a healthcare or academic environment. - Demonstrated exceptional attention to detail, planning,
and follow-up skills. - Demonstrated independent thinking skills to develop alternative solutions and solve
problems. - Demonstrated ability to interact positively.
- Ability to initiate and take independent action while working as part
of a team.
Desired Qualifications:
- Knowledge of University of Iowa Policies and
Procedures. - Familiarity with MAUI, ERMA, and FERPA.
- Specific customer service experience in an academic healthcare
environment. - Working knowledge of Radiology.
- Working knowledge of UI Procurement Services, Ebuy, and
ProTrav.
