The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering
hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia
and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient,
you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in
the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20
clinics across Georgia.
Job Summary
Administrative support to the Associate Dean of Digital Technologies and to the
Office of Digital Technologies performing duties of a complex and confidential nature including but not limited to visitor reception,
telephone coverage, correspondence, documentation preparation, student registration and grade reporting coordination, entry of academic
schedules, reserving classrooms, coordinating with classrooms services, assisting with appointments, travel, and expense reimbursement,
accounting, filing, various project assistance, and other duties as assigned.
Responsibilities
The duties include,
but are not limited to:
EXECUTIVE AND OFFICE ADMINISTRATION: Serve as the primary point of contact for the Office of Digital
Technologies: manage communications, screen inquiries, and greet visitors. Communicate professionally on behalf of the office with internal
and external stakeholders. Provide administrative support to the Associate Dean, including calendar management, meeting logistics, and
overall office operations. Maintain organized and secure physical and digital records. Prepare agendas, record meeting minutes, and track
follow-up actions. Help manage the Associate Dean’s schedule by prioritizing requests, coordinating appointments thoughtfully, and
minimizing unnecessary disruptions.
FINANCIAL AND PROCUREMENT SUPPORT: Monitor and track budgets related to digital
technologies, research labs, faculty initiatives, and sponsored programs. Process purchase requests, obtain vendor quotations, place and
track orders, and maintain inventory records. Support procurement for both office needs and lab supplies (e.g., consumables, small
equipment). Coordinate travel, reimbursements, and other expense documentation. Liaise with university financial and business offices to
ensure accurate and compliant transactions. Coordinate with Facilities and other campus support units for service requests, repairs, or
installations as needed.
DIGITAL PROGRAM AND PROJECT COORDINATION: Coordinate digital curriculum sessions, faculty development
activities, and vendor-supported educational events. Maintain project management tools to monitor deadlines and deliverables. Communicate
with faculty and labs to facilitate timely completion of digital projects. Track faculty digital design files, restorations in progress, and
clinical case workflows.
TECHNOLOGY AND SYSTEMS SUPPORT: Support daily operations using platforms such as Microsoft Word,
Excel, Outlook, Teams, Bookings, Planner, D2L, among others, for communication, scheduling, and document management. Learn and adapt to
additional platforms and tools as needed. May assist with organizing digital assets, including 3D design files, if familiar with relevant
tools.
SPONSORED PROGRAMS, RESEARCH, AND PHILANTHROPY SUPPORT: Support the preparation and submission of grants, contracts,
and sponsored program materials, including non-research initiatives. Coordinate with Sponsored Programs Administration and ensure compliance
with documentation requirements (e.g., IRBs, renewals). Support basic research lab documentation, including safety records, compliance
forms, and tracking logs. Assist with donor and sponsor outreach by preparing communications, scheduling meetings, and tracking follow-ups
in collaboration with university advancement.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Associate’s degree from an accredited college or university in a related field and a minimum
of four years of progressively responsible experience in administrative support positions.
OR
High
School diploma, GED or equivalent from a recognized State or Federal accredited organization and seven years’ progressively responsible
experience in administrative support positions.
Preferred Qualifications
Preferred qualifications include experience
in academic or research settings, proficiency with university systems (e.g., Banner, Compliance Assist), strong project coordination and
budgeting skills, familiarity with platforms like D2L and Microsoft Planner, and CAD or digital design experience, which is especially
valuable for supporting technical documentation and digital workflow tracking.
Preferred
Experience
Proficient in Microsoft Office products (Word, Excel, Teams, Outlook) and experienced with learning and applying
new technologies. Strong organizational skills, attention to detail, communication, etiquette, and initiative in managing complex tasks and
cross-functional collaboration.
Knowledge, Skills, & Abilities
KNOWLEDGE
A strong working
knowledge of university policies and procedures, accurate proofreading and formatting of documents, bank account reconciliation, and
high-level multitasking abilities are essential. The position also demands the capacity to manage a heavy workload with precision, maintain
confidentiality, and consistently present a professional demeanor and appearance.
SKILLS
Proficient computer
skills in Microsoft Word, Excel, Outlook, PowerPoint, Teams, Adobe Suite, Banner, Compliance Assist, Qualtrics, along with the ability to
quickly learn new software platforms. Excellent customer service and communication skills, including professional telephone and in person
interactions. Strong organizational skills, attention to detail, attention to detail, communication etiquette, and initiative in managing
complex tasks and cross-functional collaboration .
ABILITIES
Ability to maintain confidentiality. The
ability to work effectively with a wide range of individuals including faculty, students, residents, Deans, staff across the university, and
external visitors
