Central Washington University is recruiting a Administrative Assistant 2 to join our Student Leadership, Involvement, and Community Engagement (SLICE) team in Ellensburg, Washington. The Role:
The Administrative Assistant 2 holds a pivotal role within SLICE, providing essential administrative support to the Director, the SLICE department, and ASCWU-Student Government and oversees the administrative support functions within SLICE and the ASCWU-Student Government. The Administrative Assistant 2 directly affects the vision, mission, and values of Central Washington University by creating and promoting a welcoming environment where students, faculty, and staff feel supported. All employees are expected to uphold and contribute to CWU’s vision, mission, and values, fostering a culture of student success and institutional excellence.
Job Duties
Office & Administrative Support:
* Maintain SLICE general and Director’s calendar(s) and appointments; schedule and arrange departmental meetings.
* Answer telephone(s); receive and refer visitors including university personnel, students, and/or the public including providing student engagement information, services, and experiences.
* Coordinate office activities and operations to secure efficiency and compliance with CWU policies
* Respond to inquiries regarding departmental/University procedures and services; identify issues, provide options, and exercise knowledge of procedures to assist others.
* Prepare correspondence, meeting notices and agendas, reports, schedules, etc.; proofread material; take and maintain minutes and create agendas for meetings; make copies.
* Ensures that the Director and staff are thoroughly informed in advance of scheduled meetings regarding topics to be discussed.
* Act as a resource person for departmental personnel; participate on committees and/or meetings at CWU.
* Perform word processing tasks; use spreadsheets and database software to develop and maintain records; prepare spreadsheets, etc.
* Recommend improvements to policies and procedures to enhance efficiency.
* Offer support with student engagement software management.
* Exercise discretion regarding written or telephone communications.
* Serve as liaison between students, departments, faculty, administrators, staff and/or other institutions.
* Receive, identify, sort, and distribute a high volume of electronic and paper documents including mail, messages, records, office supplies, etc.
* Actively engage in recruitment and hiring of new employees as assigned by supervisor.
* Work with the Director, Assistant Director and the Elections Commission to ensure a smooth and fair election for ASCWU-Student Government. Serve as recording secretary for the Election Commission. Process all paperwork and transactions regarding elections such as room reservations for candidate events, publicity, eligibility checks, and election cap expenditure confirmations.
Fiscal Support:
* Process departmental transactions and apply departmental/university policies and procedures as they relate to areas such as: payroll, procurement, expense reports, travel, fiscal operations, financial/human resource systems, etc.
* Maintain, monitor and reconcile budget and fiscal records; recognize inconsistencies; initiate budget transfers; inform supervisor of status.
* Support with process contracts, making space reservations, help with logistics, and provide day of support as needed for events.
* Assist and coordinate scholarship review for various SLICE endowments and foundation accounts.
* Prepare and process travel authorizations, advances, and reconciliations for department staff and students.
* Prepare and review documents, reports, and presentations for accuracy and completeness.
Departmental Communications and Marketing Support:
* Support general student engagement marketing and awareness campaigns under direction of supervisor.
* Monitor and respond to departmental email account. Assist in maintaining department web pages.
* Support with review and edit print and electronic materials for accessibility, readability, and relatability.
Supervisor Duties:
* Actively engage in recruitment and hiring new student employees.
* Clearly define performance expectations, ensure accountability, and provide ongoing informal feedback, coaching, and mentoring. Conduct formal performance evaluations.
* Ensure student employees have necessary resources.
* Oversee and direct the work of office student staff; serve as mentor, coach, and leader, and resolve complaints or issues.
* Promote professional development opportunities.
* Develop and foster supportive working relationships, motivation and engagement.
* Communicate information to student staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
* Take corrective action in a timely manner.
* Recognize and reward office student employees for good performance.
* Schedule office student employee work hours/shifts; monitor hours worked; approve payable time and absence requests.
* Adjust leadership style as needed to achieve results.
* Recognize value of and promote a diverse workforce. Value and encourage diverse perspectives, creativity, and teamwork.
* Perform other duties as assigned.
Minimum Qualifications
- Increasingly responsible clerical/administrative experience
- Ability to effectively supervise
- Experience or training that demonstrates the ability to use Outlook, Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive, and respond to e-mail inquiries/tasks, etc.
- Fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, payroll, travel, purchasing, compile and interpret fiscal data and provide related reports
- Excellent communication, interpersonal and organizational skills
- Ability to provide excellent customer service including listening to customers, identify issues, provide options, fulfill services, and exercise knowledge of procedures to assist others
- Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines
- Attention to detail and strong time management skills
- Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds, and experiences
- OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position

- Experience with financial, human resources and/or student data systems such as PeopleSoft and/or other system(s)

Pay, Benefits, & Work Schedule
Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum annual salary of $43,980 and maximum annual salary of $58,584. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.
Schedule/Appointment: Monday – Friday, 8:00am-5:00pm (1 hour lunch)
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
