Overview
The Rutgers University- Newark (R U-N) Office of Communications reports to the RU-N Chancellor’s office. We oversee external and internal communications, public/ media relations, brand identity, communications/marketing strategy, the core RU-N website, social media, and community engagement projects for the university.

Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Administrative Assistant. Reporting to the Assistant Director of Communications and Marketing, the Administrative Assistant provides administrative and financial support for the Office of Communications.
This position is responsible for and not limited to the following:
- Coordinating and administering office operations, including preparing transactions, scheduling meetings, monitoring reports, tracking payroll, reconciling discrepancies, managing the invoicing system, and liaising with vendors and stakeholders
- Managing projects by creating detailed plans and schedules, conducting research, producing reports and marketing materials, and following up with team members to ensure deliverables are achieved on time and within resources
- Performing professional work that requires knowledge of administrative and project management practices, as well as the application of unit concepts, theories, and terminology
- Working under direct supervision with specific instructions on routine or semi-routine tasks, with work reviewed upon completion
- Supporting the mission, vision, and goals of the Office of Campus Communications, with responsibilities aligned to the Administrative Assistant role in achieving unit objectives

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22 or the applicable provisions of relevant collective negotiations agreements, this position may be eligible for a hybrid work arrangement. Flexible work arrangements are not permanent, are subject to change or discontinuation, and contingent on the employee receiving approval in the FlexWork@RU Application System.

Minimum Education and Experience
- Requires a bachelor’s degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing
- Also requires good communication skills and computer literacy
Preferred Qualifications
- Knowledge of Rutgers University enterprise systems
- Experience in database design and maintenance
- Proficiency in Microsoft Office
- Prior experience in higher education administration and project management
