Required Qualifications:
- High school diploma or equivalent
- Minimum of 2 years experience in office administration and facilities coordination
- Strong verbal and written communication skills
- Excellent attention to detail, organization, and time management
- Ability to work independently, manage priorities, and handle confidential information with discretion
- Experience with filing systems, records management, archiving, and accurate data entry
- Experience using electronic filing and records management systems
- Proficient in Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint), Adobe Acrobat, and general office technology
- Demonstrated ability to multitask and prioritize in a fast-paced environment
Preferred Qualifications:
- Experience supervising and training student workers; experience with using the Handshake platform.
- Familiarity with travel arrangements and event coordination using Concur

The Meadows Center for Water and the Environment (The Meadows Center) is an official university-level research center at Texas State University. The Meadows Center is seeking a highly organized and detail-oriented Administrative Assistant II to support the daily operations of our front office. This essential role includes managing front desk reception, coordinating facility needs, and providing comprehensive support to both staff and visitors.
The ideal candidate will thrive in a fast-paced, customer-focused environment and play a key role in maintaining a professional and welcoming atmosphere. This position also involves directly supervising, training, and scheduling student workers.
Job Duties:
- Manage daily office operations, including opening/closing procedures, building access, facility needs, guest parking, mail, shipments, supplies, and records.
- Serve as primary receptionist for visitors and calls; maintain directories, contact lists, and phone system menus.
- Provide administrative support through scheduling, document preparation, proofreading, data entry, filing, and archiving.
- Oversee conference room logistics, travel arrangements, special projects, and office events.
- Recruit, train, schedule, and supervise student workers; coordinate with the Office Administrator to ensure smooth office operations.
- Perform other duties as assigned.
