Coastal Carolina University is currently accepting applications for the following full-time position: Administrative Assistant, Undergraduate Programs for Marine Science.
The Administrative Assistant to the Chair of the Department of Marine Science and Associate Chair of Undergraduate Programs is responsible for overseeing and maintaining departmental budgets, office management, student enrollment management, personnel, procurement, and travel functions; assist faculty, students, and parents; generally, assist with and monitor all departmental activities. To work as a team with the Administrative Assistant – Graduate Programs for the Department of Marine Science

Administrative Assistant (AA75/61121583/FTE-S01121P), full-time position with benefits. SC State Pay Grade: GEN06. Salary range: $37,200.00 (minimum) – $48,300.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.
Duties include, but not limited to:
Serves as departmental Administrative Assistant and liaison for MSCI undergraduate programs; handles various correspondence with faculty, staff, current and prospective students, alumni, parents, and the general public; coordinates prospective student visits, disseminates departmental information to staff and students; schedules room reservations; coordinates tutoring and student worker schedules.
Coordinates and performs fiscal management activities, monitors and maintains departmental undergraduate programs and grant budgets in consultation with faculty PIs and accounting functions; initiates and organizes budget requests; responds to budget audits. Coordinates and performs personnel management activities; interviews, trains, supervises, and mentors student office workers and part-time/temporary employees including hourly van drivers; prepares and oversees all hiring and salary paperwork for the Marine Science undergraduate programs in conjunction with the HR Service Center Rep. Ensures van drivers, professors, and Graduate Assistants have the proper certification with the state to drive transportation and MSCI vans.
Coordinates and performs procurement management activities; coordinates and tracks all undergraduate departmental purchasing and some MSCI grant-related purchasing, maintains PCard, serves as PCard liaison, oversees purchasing of basic departmental supplies. Works closely with the Dean and Provost office to process start-up fund orders and accompanying documentation. Contact customer service and/or vendor representatives when broken, backordered, and other product issues arise. Completes complex ePro orders, processes purchase requisitions and accompanying documentation, purchases orders with state issued purchasing and TCard, processes expenses settlements/reimbursements and travel approvals/reimbursements, budgeting and assist with limited liaison PCard duties. Coordinates and oversees all travel activities for the Department of Marine Science; track and report state mileage of State lease vehicles; coordinates and tracks all departmental related paperwork for the undergraduate programs.
Assists the MSCI Chair and MSCI Associate Chair-Undergraduate Programs in planning, developing, and implementing academic advising, registration, orientation, recruitment and retention activities; performs Ellucian functions, change advisers, change of major/minor, assign advisers, make and maintain digital student folders; assists with meet-and-greet, career networking events, student research symposium, and other departmental functions as assigned. Assists MSCI Chair and MSCI Associate Chair-Undergraduate Programs with various documents and reports, including annual reports, program evaluations, faculty evaluations, undergraduate programs, class scheduling; coordinates and tracks all departmental related paperwork for the undergraduate programs.
Maintains and updates student records, assists with transfer and petition issues, assigns faculty advisors, registers students, monitors and assists probation and suspension student. MSCI Office records and management- maintains and organizes shared departmental space, equipment, supplies, keys, etc.; continuous departmental records management. Provides exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large. Works with MSCI Administrative Assistant – Graduate Programs in an effective and efficient manner to accomplish the work of the Department of Marine Science.

Knowledge, Skills & Abilities
The employee must have excellent organizational, interpersonal, and communication skills. Strong typing and computer skills are required, including proficiency with various software packages (MS Word and Excel, email, internet, ability to learn Procurement programs; must have good time management and office management skills and be able to work cooperatively with diverse groups. Must have personnel management skills (will train/supervise multiple part-time and student workers); must be able to maintain and track departmental and grant budgets; must be able to coordinate paperwork for student records, hiring, purchasing, travel and grant transactions. Must be able to communicate effectively and work cooperatively with faculty, staff, students, parents and the general public.
