The Bruce Springsteen Archives & Center for American Music will establish and operate an arts center on behalf of the University with a focus on archiving and promoting the legacy of Bruce Springsteen and his role in the history of American music, as well as other figures relating to American music in which the Center may hereafter acquire or obtain access. The Center will create academic, performance, and exhibition spaces at the Center, enabling it to become a major international scholarly resource for academic researchers and music historians. The Center is tax-exempt under in Section 501©(3) of the IRC.
The Bruce Springsteen Archives & Center for American Music is seeking a highly energized, highly organized, proactive, and detail-oriented Administrative Manager to support the Executive Director as well as the organization. This key position plays an integral role in ensuring smooth day-to-day operations, effective communication, and coordination across departments. The ideal candidate will be passionate about the arts, particularly music, and thrive in a dynamic, collaborative, and mission-driven environment.
This is an in-person, on-campus, non-remote position.

Duties and Responsibilities:
Executive Support (Primary)
- Provide comprehensive administrative support to the Executive Director, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Oversee board management, distribution of quarterly materials and scheduling of all committee and quarterly meetings
- Coordinate Annual State Charity Registrations with Outside Consultant
- Serve as the liaison between the Executive Director and internal/external stakeholders.
- Draft, proofread, and format correspondence, reports, presentations, and other documents.
- Provide information to Executive Director and Controller to develop annual budget.
- Monitor revenue and expenses to provide information to Executive Director.
- Collaborate w/Controller to categorize Center’s expenses into functional areas.
- Provide requested information for the annual audit preparation and tax return.
- Process university purchase requisitions and maintain record system.
- Process payment requests and maintain record system.
- Maintain system for contracts, agreements, memorandum of understanding.
- Manage the donor/contact database (Raiser’s Edge), including:
- Create files for new contacts, prospects, donors, etc.
- Add Executive Director or other communications w/donor prospects, as requested
- Update contact information including changes (hard bounces and unsubscribes) from mass mailings
Departmental Administrative Support (Secondary)
- Provide administrative support to the following directors as needed:
Director of Operations
- Help manage vendor communications, contracts, and scheduling for facility-related tasks.
- Maintain inventory and assist in ordering office and operational supplies.
Director of Marketing
- Assist with organizing promotional materials, event collateral, and social media scheduling.
- Track marketing campaigns and compile data for reports.
Director of Curatorial Affairs
- Support exhibition planning logistics, including scheduling meetings and tracking loan documentation.
- Assist with correspondence to artists, lenders, and institutional partners.
Director of Public Programs
- Coordinate program logistics including space booking, tech needs, and participant communications.
- Maintain event calendars and assist with registration tracking and post-event reporting.
Minimum Qualifications:
- Bachelor’s degree
- Two (2+ ) years of administrative experience, preferably in a nonprofit, cultural, or arts-related setting.
- Experience with marketing and donor research.
- Strong organizational and problem-solving skills.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams, etc.)
- Excellent written and oral communication skills
- Ability to work independently and as part of a team
- Flexibility to travel locally and work weekends, occasionally
Preferred Qualifications
- Familiarity with CRM systems, ticketing software, or museum databases is a plus.
