Job
Description:

  • Perform fiscal transactions for the AMRIS Facility
  • Manage setting up of billing accounts for new users and
    updating existing billing information as needed for current users.
  • Monthly billing of consulting and instrument usage in the AMRIS
    Facilty. Prepares all external invoices and invoicing journal entries and reviews for accuracy.
  • Fund transfers, payments and
    reporting on accounts receivable and accounts payable for the AMRIS Facility. Reviews all voucher and journal entries for accuracy.
  • Process and track invoices for all financial transactions.
  • Process purchase orders, p-cards, travel authorizations, expense
    reports, and invoices for the AMRIS Facility.
  • Procure general office, core/shared equipment and service supplies for the AMRIS
    Facility.
  • Process payroll distribution for MBI and approved departments and centers.
  • Guide AMRIS staff members on
    financial management and processing of core transactions.
  • Develop best practices for the reservations and billings of the AMRIS
    research systems.
  • Perform general administrative functions and assist the AMRIS Director and MBI COO in strategic and financial
    planning for the AMRIS Facility.
  • Liaise with financial teams and faculty across UF as well as external users of the AMRIS Facility
    in the onboarding of new users.
  • Maintain accurate records on all of the AMRIS Facility’s accounts ensuring all transactions are
    appropriate and accurate.
  • Maintain accurate commitment sheets and payment schedules.
  • Maintain records of Facility usage
    and users of the AMRIS Facility, including students, staff, safety training, and grants using the auxiliary. Assists with preparation of
    grants proposal submissions.
  • Assist the AMRIS Director, MBI COO, and UF Office of General Accounting by preparing financial and
    user reports weekly, monthly, annually, and at other times on request.
  • Assist the AMRIS Director by developing budgets, reports,
    spending reviews and financial forecasts for the Institute.
  • Assist the AMRIS Director and MBI COO with general HR duties, including
    payroll approval by liaisoning with the EVPHA Office.
  • Provide fiscal support for the CASBR Facility.
  • Attend regular AMRIS
    staff meetings and coordinate with the AMRIS Director, MBI COO, MBI Building Manager, and AMRIS staff to implement policies and actions that
    ensure seamless operation and continual maintenance and improvement of the AMRIS Facility.
  • Perform general administrative functions
    as requested by the AMRIS Director and MBI leadership

Expected Salary:


$55,000 – $60,000

Required Qualifications:


Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and
experience.


Preferred

  • Possess critical thinking and process management skills.
  • Knowledge of myUFL as it relates to
    payroll, travel, grants, all fiscal functions, account reconciliations and monthly budgetary reporting.
  • Understand and practice
    excellent customer service and record keeping.
  • Possess a professional attitude which is conveyed in all interactions,
    communications and appearance. Excellent verbal and written communication skills, ability to organize, manage, and multitask in a fast-paced
    environment.
  • Proficiency in PeopleSoft and MS Office including Word, Excel.
  • Ability to work well in a team
    environment.
  • Self-motivated, excellent judgment and decision-making ability.
  • Ability to work independently with
    demonstrated problem solving skills and attention to details.
  • Knowledge of and experience with university and state regulations
    regarding fiscal and budget transactions.
