Job Description Summary
The Admissions and Financial Aid Coordinator is
the critical first point of contact for a high volume of applicants and students, independently responding to walk-ins, phone calls, and
e-mails as well as advising prospective applicants on program offerings, the admissions process, and financial aid. Under limited
supervision, assist in the day-to-day operation of the Weitzman School of Design Office of Admissions and Financial Aid. Manage the
admissions blog, student ambassador profiles, and other Admissions website and social media activity; collaborate with Office of
Communications. Assist with the processing of admissions applications, including updating records, scanning documents, calculating GPAs, and
verifying applicant data. Coordinate and leading on-campus, off-campus, and virtual recruiting events, including two open houses per year.
Prepare materials for recruitment events. Manage financial aid tasks such as advising prospective and incoming students on financial aid
policies and opportunities, posting financial aid awards in Penn’s graduate funding system, and generating letters for endowed and
continuing scholarships. Ensure proper processing of admitted students, deferrals, and entering students in Technolutions Slate, Weitzman’s
admissions CRM and the University’s student records system. Using Slate, create queries and reports, analyze data, and communicate with
prospective students. Manage the official documents and prerequisite processes; update records, receive documents, and communicate with
students about their documentation. Develop and implement a comprehensive schoolwide social media campaign for the Admissions
Office.


Job Description

Job Responsibilities

  • Provide customer service to students and prospective
    applicants including general admissions and financial aid counseling.
  • Process applications, open mail, download and scan
    transcripts, retrieve electronic transcripts and WES course-by-course evaluations, and update records in Slate.
  • Manage the official
    documents and prerequisite processes; update records, receive documents, and communicate with students about their
    documentation.
  • Develop and implement a comprehensive social media campaign using a variety of social media channels; conceptualize
    story ideas; obtain video and still images; write engaging posts; and solicit input from students to ensure maximum impact.
  • Assist
    with planning and staffing Open Houses; set up and participate in web chats and webinars; update our website, including profiles of 20-30
    student ambassadors.
  • Coordinate and lead recruitment events; serve as the lead School of Design representative at select
    multi-school recruitment fairs. Respond to inquiries from students and help develop FAQ’s and other informational materials to assist with
    the admissions experience.
  • Post financial aid awards, look up information in Pennant, GradFunding, and Student
    Accounts.
  • Using Slate, create queries and reports, analyze data, and communicate with prospective students.
  • Help prepare
    viewbook as well as material for admissions and recruitment packets and mailings, and recruiting events.
  • Performs additional duties
    as assigned.


Qualifications


Required

  • High School Grad/GE Degree, and 5 to 7 years of experience or
    equivalent combination of education and experience.
  • Desktop computer experience.
  • Strong public relations and social media
    skills and ability to interact with people of diverse backgrounds essential.
  • Able to work well under pressure and handle multiple
    tasks simultaneously; fine attention to detail.
  • Strong oral, written, and interpersonal communication
    skills.


Preferred

  • Experience in spreadsheet, word processing, database and e-mail applications.
  • Self
    motivation and initiative.
  • Knowledge of admissions/financial aid processes.
  • Experience using Technolutions, Slate, or
    another Customer Relationship Management (CRM).

Salary offers are made based on the candidate’s qualifications, experience, skills, and
education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for
