Position Summary

Livingstone College seeks an experienced and detail-oriented Advancement Database
Manager
to oversee, maintain, and optimize the College’s advancement and fundraising database systems. This position plays a
critical role in ensuring data integrity, supporting donor relations and prospect management, and providing accurate, timely reporting to
advance fundraising strategy and institutional goals.



The ideal candidate will have 5–7 years of experience managing
advancement or nonprofit fundraising databases, Raiser’s Edge experience strongly preferred, and a demonstrated ability to
translate complex data into actionable insights for advancement leadership and staff.

Essential Duties &
Responsibilities

Database Management &
Systems Administration


  • Manage, configure, and maintain the College’s advancement database (Raiser’s Edge preferred),
    including integrations with gift processing, events, finance, and marketing systems.
  • Serve as the primary system administrator
    and point of contact for advancement database operations and troubleshooting.
  • Lead database-related projects, including system
    upgrades, data migrations, new module implementations, vendor coordination, testing, and documentation.

Data Integrity
&
Governance

  • Develop, implement, and enforce data-entry standards, naming conventions, validation rules, and
    deduplication
    processes.
  • Conduct regular data audits to ensure accuracy, consistency, and compliance with institutional
    standards.
  • Maintain compliance with applicable data privacy and communications regulations (e.g., GDPR, CAN-SPAM), as well as
    College data governance
    policies.

Gift Processing & Financial Reconciliation


  • Process gifts,
    pledges, memberships, and other
    advancement transactions accurately and timely.
  • Code and reconcile gifts with the Business Office
    and Finance Department as
    required.
  • Support campaign, appeal, and fund structures, including soft credits and stewardship
    workflows.

Reporting, Analytics & Prospect Support

  • Build, maintain, and automate queries, exports,
    segments, and reports for
    development, alumni relations, and senior leadership.
  • Design and deliver complex reports and dashboards
    to track fundraising
    performance, campaign progress, and donor engagement metrics.
  • Support prospect research and moves management
    by maintaining
    constituent records, giving histories, and cultivation and stewardship activity logs.

Events &
Engagement Support


  • Manage event-related database functions, including registrations, ticketing, attendee tracking,
    seating, and post-event
    reconciliation and reporting.
  • Support advancement staff with event data imports, exports, and performance
    analysis.

Training & User Support

  • Provide training, documentation, and ongoing support to
    advancement staff to ensure
    effective and consistent system use.
  • Translate technical database concepts into clear guidance for
    non-technical users.
  • Additional duties as assigned.

Education/ Experience


What you will
need to be
successful!

  • Minimum 5–7 years of hands-on experience managing advancement or fundraising databases
    (Raiser’s
    Edge highly preferred).
  • Strong proficiency with Raiser’s Edge or comparable advancement CRM systems (e.g., Raiser’s
    Edge NXT,
    Blackbaud CRM).
  • Experience supporting event modules and third-party integrations (e.g., Eventbrite or similar
    platforms) with
    transactional reconciliation.
  • Advanced skills in Excel (pivot tables, XLOOKUP/VLOOKUP); working knowledge
    of SQL
    preferred.
  • Experience with reporting and visualization tools (e.g., Power BI, Tableau, or similar).
  • Demonstrated
    experience with data migration, cleansing, deduplication, and data governance best practices.
  • Excellent analytical,
    organizational, and problem-solving skills.
  • Strong written and verbal communication skills, with the ability to train and support
    diverse users.
  • Bachelor’s degree in information systems, Data Management, Business, or a related field, or equivalent
    professional experience.


Preferred Qualifications


  • Certification or formal
    training
    in Raiser’s Edge or Raiser’s Edge NXT.
  • Experience in higher education, nonprofit advancement, or philanthropic
    organizations.
  • Familiarity with fundraising operations, gift agreements, pledges, and donor stewardship processes.
  • Experience managing API-based integrations and third-party vendors.


Working Conditions

  • Standard business hours with occasional evenings or weekends required to support events, campaigns, or reporting deadlines.
  • Hybrid work arrangements may be available based on departmental needs and institutional policy.
