The Athletic Operations Coordinator supports daily athletics operations by managing event logistics, scheduling, facilities use, travel, equipment, and administrative coordination for coaches and student-athletes. This role serves as a key point of communication, ensures smooth game-day and practice operations, and maintains compliance with institutional and NCAA guidelines in a fast-paced environment.



Responsibilities

  • Coordinate game-day operations including facility setup, breakdown, and readiness.
  • Serve as the primary liaison between athletics, facilities, campus police, game officials, visiting teams, and event staff.
  • Ensure competition venues meet NCAA, conference, and institutional standards.
  • Coordinate staffing needs for home events, including scorekeepers, clock operators, security, and support personnel.
  • Assist with emergency action planning and game-day risk management procedures.
  • Coordinate team travel logistics, including transportation, lodging, and meal planning, in accordance with University policies.
  • Assist with scheduling competitions and coordinating logistics with visiting institutions.
  • Serve as event manager for assigned sports, tournaments, and special events.
  • Coordinate practice and competition schedules in collaboration with coaches and facilities staff.
  • Serve as a liaison between athletics, campus facilities, and external venues regarding space usage and event needs.
  • Support compliance with NCAA Division II, conference, and University rules and regulations.
  • Maintain required operational documentation and reports.
  • Provide administrative and operational support to head coaches and program staff.
  • Assist with onboarding and supervision of graduate assistants, interns, and part-time event staff.
  • Coordinate departmental calendars, meetings, and internal communications.
  • Work collaboratively with campus partners including facilities, compliance, campus police, marketing, and event services.
  • Represent VUU Athletics professionally at meetings, competitions, and University events.


Education

  • Bachelor’s degree from an accredited institution.
  • Prior experience in athletics operations, event management, or a related field.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Must be able to lift 10 pounds.
