Job Description:


Title: Billing
Specialist


Unit: NUP

Department: Student Financial Services

Reports To: Director of Student Accounts


The Billing
Counselor is a key member of the Student Financial Services team, responsible for managing billing operations and providing direct support
to students regarding their account activity. The Counselor oversees an assigned caseload based on an alpha split of the student population,
ensuring consistent, equitable, and proactive financial support. This role requires strong analytical skills, a high degree of accuracy, and
a commitment to student success. The Billing Counselor reports to the Director of Student Accounts and works collaboratively with internal
stakeholders to provide a holistic approach for student service.

Essential Job Functions:


  • Serve as the
    primary billing contact for an alpha-split caseload of students, delivering personalized support on tuition and fee charges, health
    insurance waivers, payments, financial holds, and payment options including payment plans.
  • Process and audit transactions including
    account adjustments, waivers, refunds, and third-party billing in accordance with institutional policies.
  • Monitor student account
    activity and proactively reach out to students with outstanding balances or potential financial barriers.
  • Work closely with the
    Financial Aid and Registrar’s Offices to resolve account discrepancies and ensure timely, accurate billing.
  • Participate in billing
    cycles, term audits, and reconciliation processes.
  • Act as a Veteran School Certifying official, ensuring certification of VA
    educational benefits and maintaining compliance.
  • Respond to inquiries from students, families, and staff by phone, email, or in
    person, with professionalism and confidentiality.
  • Maintain thorough documentation in the student information system (e.g.,
    Jenzabar).
  • Contribute to training and onboarding efforts, process improvements, and knowledge sharing within the
    department.
  • Stay up to date on college policies, procedures, and relevant compliance requirements.
  • Assist with on-campus
    events such as new student orientation, info sessions, and open registration.
  • Other duties as assigned.


Requirements:

  • Associate’s degree required; Bachelor’s degree preferred.
  • Minimum of 3-5 years of
    experience in student accounts, a Bursar’s office, or a similar financial services role in higher education.
  • Experience managing an
    individual workload or caseload with autonomy and accountability.
  • Familiarity with student information systems such as Jenzabar is
    highly desirable.
  • Excellent communication and customer service skills, with a demonstrated commitment to equity and
    inclusion.
  • Ability to manage sensitive financial information with accuracy, discretion, and sound judgment.
  • Strong
    organizational skills and attention to detail.
  • Occasional nights and weekends may be required
