General Description / Primary Purpose
Will manage business, budget,
finances, travel, and other processes for the Florida Institute of Education (FIE). Tracking and reconciling expenditures and/or preparing
detailed and summary reports; performing reviews of actual expenditures, posting to appropriate categories, and/or tracking revenue
documents; preparing expenditure forecasts using project sheets and data from program implementer; assisting with preparing budget
justifications for proposed grant and contract proposals and other documents related to budget preparation and submission process; and
providing general support to the FIE Business Office and FIE programs and services.
Job Function
-
Perform
day-to-day activities as related to department purchasing requests, deposits, staff recruitment and personnel action requests, payroll
allocation, consulting contracts, travel-related requests, expenditure reports, and the recording of all transactions to applicable
programmatic/project budget worksheets. -
Reconcile programmatic/project budget worksheets to Workday budget reports to ensure
accuracy and proper documentation for all transactions.

Prepares accounting entries as required (e.g., journal transfers,
budget amendments, year-end accruals). -
Each month, consolidate and summarize budget expenditures for program budgets and
ensure all required post-award expenditures are posted to Workday.

Compiling and maintaining data to support the preparation
of creative and/or complex reports and presentations using spreadsheet software, particularly Excel, and a variety of data sources related
to finances, programs and services, and evaluation. -
Represents the FIE Business Office as needed.

Other
job-related duties are requested by the supervisor.
Marginal Functions

Perform other secondary
administrative tasks that enhance or support the primary functions of the FIE Business Office. -
Assist with events that
support FIE programs, including preparing materials, organizing logistics, and providing onsite support as needed.

Required Qualifications
Bachelor’s degree or a high school diploma and 4+ years
of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.

Ability to
exhibit a high degree of tact and sensitivity, deal directly with the public, students, faculty, and staff. and officials (both within and
outside FIE) on behalf of the Business Manager and FIE staff. -
Documented professional experience in a complex professional
financial position with responsibilities for budgets, and which includes experience with account and bank statement reconciliations as well
as responsibility for account management, financial documentation, and high-volume transactions. -
Demonstrated use of
Microsoft Excel functionality (e.g., creating formulas, formatting, and conducting data searches). -
Demonstrated ability to
coordinate complex tasks, to work independently, and to balance multiple priorities under deadline-driven
conditions. -
Experience with Workday or similar financial software.

Excellent interpersonal, written, and
verbal communication skills. -
Experience in the capacity of financial administrative support in a higher education or similar
non-profit institution is preferred.
This position requires a successful completion of a level 2 background screening with
fingerprinting. May have contact with young children at FIE-partner childcare centers.
