The is a full-time, 12-month administrative, non-exempt, staff position responsible for designing and executing impactful visit experiences and recruitment events for prospective undergraduate students. This role leads the daily campus visit program, oversees event planning for recruitment and yield initiatives, and works closely with the Student Ambassador program. The position also serves as a back-up supervisor to the Student Ambassadors for the Assistant Director for Admissions and Administrative Coordinator and plays an active role as tour guide and group visit presenter. In addition, the coordinator provides back-up admissions counseling support by taking meetings with visitors when needed. The position requires close collaboration across departments and is focused on delivering experiences that reflect the mission and values of Viterbo University.
Responsibilities
Campus Visit Program Leadership
- Design and manage daily campus visit programming to provide prospective students and families with a detailed and personalized understanding of the Viterbo experience.
- Coordinate logistics and preparation for all individual and group visits, ensuring appropriate involvement of faculty, staff, and students.
- Serve as the primary campus tour guide and presentation leader for group visits.
- Customize visit agendas as needed to meet visitor needs and special requests.
- Administer and evaluate visit satisfaction surveys to improve the visitor experience.
- Maintain the visit calendar and ensure timely communication with stakeholders.
- Regularly assess visit trends and submit reports on attendance, feedback, and year-over-year benchmarks.
- Ensure timely and accurate CRM data entry related to visit attendance and outcomes.
- Implement continuous improvement practices by gathering feedback from visitors and colleagues.
Recruitment and Yield Event Planning
- Lead the planning and implementation of recruitment and yield events such as Preview Days, Accepted Student Days, scholarship events, athletic open houses, and Student Transition and Registration events.
- Maintain a master events calendar in alignment with the broader undergraduate recruitment schedule.
- Develop event strategies that differentiate Viterbo and positively impact enrollment.
- Collaborate with departments such as Athletics, Alumni Relations, and academic programs to enhance event offerings.
- Analyze event performance through surveys and outcomes data to drive continuous improvement.
- Support communications and logistics related to Wisconsin Private College Week and other statewide initiatives.
Student Ambassador Program Support
- Work closely with the Assistant Director for Admissions to support the recruitment, training, and evaluation of Student Ambassadors.
- Serve as back-up supervisor for Student Ambassadors in the absence of the Assistant Director or Administrative Coordinator.
- Assist in assigning work, providing feedback, and contributing to the professional development of Student Ambassadors.
- Contribute to maintaining and updating the Student Ambassador handbook, including policies, expectations, and training guides.
- Provide training and direction to students who serve as overnight hosts.
Event and Visit Communications
- Manage the visit confirmation and follow-up communications process.
- Assist with crafting event communication strategies that boost attendance and engagement.
- Maintain the visit website and event registration pages to ensure clarity, accuracy, and timely updates.
- Partner with the Marketing and Communications team to promote visits and events through social media and other channels.
Campus Engagement and Support
- Cross-train in admissions requirements for transfer, bachelor completion, and graduate programs to provide basic support and referrals.
- Serve as a back-up admissions counselor for student/family meetings when needed, including coverage during illness, medical leave, or peak demand.
- Help connect prospective students with academic, athletic, and student life departments.
- Serve as a back-up for the Marketing, Communications, and Enrollment Administrative Coordinator as needed.
- Conduct campus tours and meet with prospective students during peak times or in the absence of a Student Ambassador.
Professionalism and Mission Alignment
- Promote a welcoming and professional atmosphere during all campus visit and event experiences.
- Uphold and model the values and mission of Viterbo University in all interactions with students, families, and campus partners.
Other Duties as Assigned
- Assist the Senior Director for Admissions with additional recruitment and yield initiatives.
- Support university-wide enrollment goals through collaboration and innovation.
Qualifications
- Bachelor’s degree preferred.
- Minimum of two years of experience in event planning, campus programming, or admissions.
- Experience in higher education preferred.
- Strong communication skills and attention to detail.
- Demonstrated ability to manage multiple projects in a fast-paced environment.
- Proficiency with Microsoft Office and willingness to learn CRM systems (experience with Ellucian Recruit is a plus).
- Strong organizational skills and the ability to work both independently and as part of a team.
