This
role plays a vital part in
supporting lifelong learners, business partners, instructors, and colleagues by keeping programs, events, and
daily operations running
smoothly. From assisting customers with registrations to coordinating logistics for classes and customized
training, you’ll be at the heart
of the action-ensuring every participant has a positive and seamless experience.

engaging learning experiences while
building strong relationships with participants, instructors, and partners.
What You’ll
Do
Customer
Service & Registration
- Serve as a primary point of contact for customers, providing
helpful, accurate information
about programs, registrations, and payments. - Deliver professional, friendly service through phone,
email, and in-person
interactions. - Process and maintain registrations, payments, refunds, and customer records with a high level of
accuracy. - Provide backup reception coverage and support general office communications.
- Assist with occasional evening or
weekend events as needed.
Program & Event Coordination
- Partner with program managers to plan
and
execute catalogs, classes, conferences, camps, and customized training opportunities. - Coordinate logistics including scheduling,
promotion, facilities, catering, materials, A/V setup, and virtual session support. - Prepare and track contracts with instructors,
speakers, clients, and facilities. - Collaborate with accounting to support payment and documentation workflows.
- Serve as the
primary contact for speakers, gathering materials and coordinating travel or onsite needs. - Support onsite event operations,
including setup, attendee assistance, and close-out tasks. - Communicate schedule updates, cancellations, or changes to participants
in a timely and professional manner.
Office & Systems Support
- Maintain proficiency in
registration
systems and office procedures. - Ensure accurate data entry, recordkeeping, and adherence to data security
practices. - Assist
in documenting and improving standard operating procedures. - Run reports and help maintain accurate program
information. - Participate in ongoing professional development to stay current with technology and best practices.
Additional Responsibilities
- Offer ideas to enhance processes and improve the customer
experience. - Perform other duties as assigned to support the success of the
department.
Minimum
Requirements
- High
school diploma or GED and four years of experience in administrative support, customer service, or
event coordination OR an associate degree
in business administration, office management, communications, or a related field and two years of
directly related experience, OR a
bachelor’s degree. - Proficiency using the Microsoft Office Suite applications, including mail
merges, scheduling, creating
documents, and using basic Excel functions. - Experience handling payments and financial
documentation. - Availability for
occasional evenings/weekends and travel.
Preferred
Qualifications
- Demonstrated ability to document and improve office procedures (SOPs, streamlining
workflows, etc). - Experience with
registration systems or CRM software and accurate data entry. - Experience coordinating
logistics for events to include project
coordination, managing contracts, speaker coordination, and onsite event support. - More than
four years of experience within an
education or event planning and logistical working environment. - Demonstrates a high aptitude for
learning and self-direction.
