Responsibilities

DESCRIPTION:
The Coordinator, Allied Health Programs provides administrative and operational support to ensure the efficient coordination of logistics, compliance, and departmental functions across multiple Allied Health programs. This role supports department leadership, faculty, and staff by managing accreditation records, scheduling, timekeeping, and procurement. Serves as a key contact for students and partners to support recruitment, outreach, and program visibility.



ESSENTIAL FUNCTIONS:
1. Provides daily coordination and comprehensive administrative support for all Allied Health Programs and the department, ensuring efficient programs logistics, compliance, and students’ adherence to program and clinical requirements.
2. Maintains departmental records necessary for the maintenance, accreditation, clinical affiliations of multiple programs, and prepares documentation for meetings and advisory committee activities.
3. Assists in preparing the department’s operating budget by processing purchasing requisitions, maintaining expenditure records, and organizing financial documentation.
4. Supports department faculty and staff by assisting with recruitment logistics, onboarding processes, and supervising federal work-study students, while monitoring faculty and staff credentialing to ensure compliance with documentation requirements.
5. Supports department leadership by assisting with external partnership activities, including grant administration, industry relationships, educational collaborations, and coordinating visits and outreach.
6. Coordinates data entry for scheduling and faculty assignments and maintains accurate program and course information for the catalog and website.
7. Manages timekeeping processes for full-time and part-time employees, ensuring accurate timesheet submissions, obtaining necessary approvals, and timely submission to payroll.
8. Coordinates lab and supply orders, securing quotes, maintains inventory, and processes recurring departmental expenses such as office supplies and lab materials.
9. Coordinates textbook ordering and working with vendor relations to secure faculty desk copies.
10. Maintains departmental calendars, schedules meetings and travel, prepares meeting materials, and manages follow-up activities for effective department administration.
11. Provides frontline support to students, faculty, and the public by coordinating communications, delivering program information, and coordinating student orientations, recruitment events, and marketing publications.
12. Performs other duties as may be required or assigned.



REQUIRED QUALIFICATIONS:
1. Associate’s degree from a regionally or nationally accredited institution.
2. Three (3) years of experience in providing administrative and logistical support in a professional setting.



DESIRED QUALIFICATIONS:
1. Bachelor’s degree from a regionally or nationally accredited institution.
2. Experience working in an academic setting or healthcare-related setting.
3. Experience with data management, scheduling, and compliance.

WORK ENVIRONMENT and SPECIAL CONSIDERATIONS:
1. Works inside in an office environment.
2. May occasionally be required to work flexible hours, including evenings and weekends.
3. Travels between campuses and other local destinations.
