Description:


The Course Scheduling & Curriculum Coordinator supports the planning, development, and maintenance of the academic
for-credit course schedule with a strong emphasis on maximizing and efficiently utilizing academic resources. The position ensures that
course scheduling adheres to established business rules and data-entry standards and contributes to the refinement of these standards when
improvements are needed.

In addition to scheduling responsibilities, the coordinator helps oversee and manage the university course
catalog and student curriculum records, ensuring accuracy, consistency, and compliance across all systems.



Job Function:

  • Independently administers course and section build processes in the student information system, interpreting and applying
    academic scheduling policies and business rules to complex scheduling scenarios.


  • Evaluates schedule data for compliance,
    resolves discrepancies within delegated authority, and recommends corrective actions or rule refinements to maintain institutional
    standards.

  • Serves as a subject matter expert for faculty, staff, and campus partners by interpreting academic policy and
    curricular requirements, advising on scheduling and curriculum options, and identifying impacts to the catalog, degree audit, and downstream
    systems.


  • Escalates policy exceptions through established governance channels.

  • Partners with Information
    Technology Services diagnose root causes, define business requirements, and evaluate system impacts to scheduling, catalog, and curriculum
    workflows.


  • Leads functional testing, validates outcomes against business rules, and recommends enhancements that improve data
    integrity and user experience.

  • Develops and analyzes academic scheduling and curriculum reports to identify trends, capacity
    constraints, and compliance risks.


  • Interprets findings and recommends operational adjustments to optimize instructional
    resources and support data-informed decision-making.

  • Coordinates the end-to-end course catalog update cycle by translating
    APC actions into accurate system updates and ensuring compliance with applicable state, accreditation, and institutional
    requirements.


  • Reviews submissions for completeness and policy alignment, resolves discrepancies, and documents decisions and
    rationale for audit readiness.

  • Maintains and validates course attributes, prerequisites, descriptions, outcomes, and related
    catalog elements across systems by interpreting approved curriculum actions and policy requirements.


  • Conducts quality
    assurance reviews, reconciles discrepancies, and initiates corrective actions to ensure consistency and data
    integrity.

  • Coordinates and executes complex student curriculum record updates by interpreting policy and governance
    outcomes.


  • Determines appropriate coding and structures within established guidelines and assesses downstream impacts
    (registration, degree audit, billing, reporting).

  • Resolves issues and escalates exceptions as
    appropriate.


  • Develops and maintains standard operating procedures, job aids, and training
    resources.

  • Standardizes workflows, communicates process changes to stakeholders, and supports knowledge transfer to ensure
    continuity, quality, and compliance.


  • Provides functional support for term setup, registration, and end-of-term processing by
    validating configuration against policy and business rules.

  • Identifies and resolves issues impacting student progression and
    recommends process improvements to enhance service delivery.


  • Maintains and applies expert knowledge of student record privacy
    and compliance requirements (including FERPA).

  • Exercises discretion and independent judgment in record handling and data
    access, advises stakeholders on compliant practices, and identifies and mitigates compliance risk.

Functions
:

  • Works closely with other members of the Registrar’s team, lending assistance with routine and project
    work.


  • Provides support in the execution of Commencement ceremonies and other Student Success events.

  • Performs
    other duties as assigned in support of student success priorities.


  • Contributes to systems testing and implementation(s)
    relative to job responsibilities.

Required Qualifications



Master’s or
Bachelor’s degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat.
112.219.

  • Effective written and verbal communication skills, including the
    ability to present information clearly and professionally.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel,
    etc.) and other Windows-based systems; comfort learning new tools and technologies.
