Description
SUMMARY STATEMENT
The Enrollment Assistant provides customer service to students, parents, HCC
faculty and staff, and the general public. This person is also responsible for counter, phone and electronic communications to assist with
admissions application processes and disseminating information while making referrals to other staff when needed. This position may also
have responsibilities with processing and scoring of selection admissions program applications.
ORGANIZATIONAL
RELATIONSHIPS
A. The Enrollment Assistant reports directly to and is responsible to the Director of Admissions
and Enrollment Management.
B. The Enrollment Assistant coordinates most closely with Registration and Student Support
Advisors, Student Financial Aid, Finance, the Registrar, IT, potential students, staff, Nursing and Health Sciences faculty.
ESSENTIAL DUTIES
A. Admissions Support:
1. Provide strong
customer service on the front line; assists with answering telephone calls and electronic communication inquiries for prospective students
and visitors; makes referrals to the appropriate AEM staff or HCC office when needed; ensures timely and accurate
information.
2. Processes student applications through Ellucian Recruit (college’s CRM) and Datatel, the College’s
administrative software system.
3. Responsible for receiving, reviewing, filing/imaging documentation; works with
various admissions application, residency, citizen status and other ques/workflow processes that determine student tuition
type.
4. Processes all changes in student data including name, address, and residency/student
type.
5. Processes and enters admissions information related to pre-college standardized testing, high school
transcripts, etc.
6. Processes readmit applications.
7. Other duties as
assigned.
B. Oversee or provides assistance with individual and group tour scheduling; facilitate tours as is
needed.
C. Oversees or helps with the processing and scoring of all Health Science and Nursing selective admissions
program applications.
1. Maintains academic program spreadsheets and acts as either the main scorer or secondary
scorer.
2. Assigns numeric value to completed program requirements; calculates a final score.
3.
Stays current on academic program changes and ensures all admissions documents are accurate.
4. Responds to inquiries
from prospective selective admission program students.
5. Processes required applicant documents, including testing
scores and transcripts.
6. Resolves customer service issues; provides referral to Director as is
appropriate.
7. Changes academic program code for students who accept admission into and pay deposit for selective
admission programs.
Requirements
EDUCATION AND
EXPERIENCE
Associate degree preferred, prior work experience in data entry and/or direct customer service experience
preferred.
SKILLS AND ABILITIES
Ability to deal tactfully and equitably with students and visitors of varying
socio-economic, ethnic and cultural backgrounds; excellent interpersonal and verbal skills; proficiency in computer applications such as
Word and Excel; experience in integrated database systems preferred; minimum keyboard skills of 40 wpm; ability to work independently and
accurately under pressure, and make decisions in accordance with established policies and procedures. Ability to lift ten pound boxes.
WORKING ENVIRONMENT
Normal office environment with frequent interruptions. Flex schedule needed to address
needs of day, evening, and weekend students; office hours between 8:30am – 7:00pm Mondays, 8:30am-4:30pm Tuesday-Friday. Select Saturdays
and extended evenings as needed for College events.
