The University of South Carolina Beaufort invites applications for a dedicated and highly organized Administrative Assistant and Office Manager to support the Vice Chancellor for Enrollment Management and the Division of Enrollment Management. This position plays a vital role in ensuring the efficiency and effectiveness of daily operations across the division, while providing exceptional administrative and customer service support to students, families, and staff.

Key Responsibilities:


  • Provide comprehensive administrative support to the Vice Chancellor for Enrollment Management, including managing complex calendars, scheduling appointments, and coordinating meetings.
  • Develop, draft, and route correspondence, reports, and presentations; prepare data and materials for internal and external requests.
  • Serve as recording secretary for the Vice Chancellor’s Council meetings, documenting discussions and tracking follow-up actions.
  • Oversee daily operations of the Enrollment Management offices and serve as Office Manager for Admissions, ensuring smooth coordination of office procedures and services.
  • Manage departmental budgets, purchase orders, and procurement card transactions in accordance with USC financial and credit card policies.
  • Assist prospective students and families by providing accurate information and exceptional customer service.
  • Support data management, document processing, and record routing within the Admissions Office, ensuring timely file review by Admissions Specialists.
  • Order and maintain office supplies for the Admissions and Financial Aid offices on the Bluffton campus.


Qualifications:

  • Required:
    • Bachelor’s degree in a job-related field and a minimum of two years of relevant experience, or an equivalent combination of education, training, and experience.

  • Preferred:
    • Experience using Banner (student information system) and Slate CRM.
    • Notary Public for the State of South Carolina.

Job Related Minimum Required Education and Experience

Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.


Preferred Qualifications

Experience working with Banner, student data base management system, and Slate, CRM. Notary for the state of South Carolina.



Knowledge/Skills/Abilities

Above average office organizational and management skills. Above average typing (keyboarding) skills for word processing and data input. Proficiency in Microsoft Office products and Banner (SIS) and Slate (Admissions CRM). Extensive knowledge of policies and procedures related to admission, financial aid/scholarships, housing, purchasing, travel, residency for tuition purposes, budget management, and the ability to interpret and communicate these policy and procedures to a variety of audiences, including students, faculty, staff, guardian, parents, and the general public. The ability to evaluate need and direct the current students, prospects, and family members to the appropriate resource. Knowledge of and ability to work with competing demands for time-sensitive work. Highly organized and intimate understanding of FERPA and other student privacy laws and policies. Ability to work effectively in a team.



Job Duty

Provides administrative support for the Vice Chancellor/Director of Admissions to include developing, maintaining and coordinating calendar of appointments, and reviewing, routing and prioritizing incoming correspondence. Develops/drafts correspondence for the Vice Chancellor’s signature and responds to some items directly. Develops data and reports in response to requests from the Chancellor and other USCB departments. Serves as recording secretary for the VC’s Council meetings and provides follow-up for action items.

Manage the Vice Chancellors budget which include: Admissions, Registrar, Financial Aid and Military Programs. Assists in the development of the annual budget submission and the monitoring and management of the multiple accounts within the unit. Assist with travel forms, purchasing requests, expenditure requests for applicable policies and procedures, appropriate accounting information, and insures appropriate forms are completed in a timely and accurate manner prior to recommending approval or disapproval to the Vice Chancellor. Serves as departmental resource on appropriate policies and procedures regarding Travel and Purchasing (includes the Food Expenditure policies).

Job Duty

Coordinate general Enrollment Management office services and serve as Office Manager for Admissions. Responsibilities include but not limited to assisting prospective students and families, coordinating general office procedures, data management, processing admissions documents, building and routing files to Admissions Specialist for review and assisting the admissions office with mailings, processing purchase orders and payments through PeopleSoft for all unit departments, and maintaining department procurement card and follow USC credit card policies. Order and maintain office supplies for Admissions office and Financial Aid office on the Bluffton Campus

Maintain knowledge of SC residency regulations. Daily residency applications will be reviewed and coded appropriately. Work closely with the Bursar’s Office. Receive and document all residency appeal documents for committee’s review. Receive and document all Admissions Appeals and Criminal Conviction Questionnaire Appeals. Prepare documents for both of these Appeal Committees for review. Develop and maintain all correspondence and record of decisions.
