Job Summary
The Executive Aide provides comprehensive administrative, logistical, and customer service support for the central office of the College of Business and Technology. The position supports daily office operations, coordinates meetings, programs, and special events, and assists with routine human resources and financial processes in accordance with established institutional policies and procedures. The role requires sound judgment, attention to detail, professionalism, and flexibility, including occasional support for college events that occur outside normal business hours.
Overview
Promotes a positive, professional work environment for the central office of the College of Business and Technology. Responsible for performing a broad range of general administrative support tasks in accordance with established institutional policies, procedures, and guidelines. Tasks vary in complexity from day to day, and the employee exercises judgment in prioritizing and completing work within defined parameters. Reviews work for accuracy and completeness and ensures compliance with applicable policies and requirements. This position provides support for college meetings, programs, and special events, some of which may occur outside normal business hours.
Knowledge, Skills, and Abilities
- Knowledge of general administrative office practices, procedures, and workflows in a complex organizational or institutional environment.
- Knowledge of customer service principles and practices applicable to a higher education setting.
- Knowledge of institutional policies, procedures, and compliance requirements related to confidentiality, records retention, FERPA, human resources, and routine financial processes.
- Knowledge of meeting, program, event, and travel coordination practices, including scheduling, logistics, and vendor interaction.
- Skill in providing professional, courteous, and responsive customer service to diverse internal and external stakeholders.
- Skill in organizing, prioritizing, and completing multiple tasks accurately while managing competing deadlines and changing priorities.
- Skill in written and verbal communication sufficient to prepare, format, and convey routine correspondence, reports, and communications clearly and professionally.
- Skill in maintaining accuracy and attention to detail in data entry, record keeping, scheduling, and documentation. Skill in using standard office software, collaboration tools, and institutional administrative systems to support daily operations.
- Skill in coordinating meetings, events, travel, and related logistics in accordance with established institutional policies and procedures.
- Skill in maintaining electronic and physical records in compliance with confidentiality and retention requirements. Skill in providing task-level coordination, training, or guidance to student workers or temporary staff.
- Ability to exercise sound judgment and discretion when handling confidential, sensitive, or time-sensitive information.
- Ability to interpret, apply, and follow established institutional policies, procedures, and guidelines. Ability to work independently within defined parameters while contributing to shared accountability in a team-based or shared services environment.
- Ability to adapt to changing workloads, priorities, and operational needs.
- Ability to identify routine administrative or operational issues and take appropriate action or elevate concerns as needed.
- Ability to manage calendars and schedules requiring coordination among multiple stakeholders.
- Ability to provide logistical and administrative support for meetings, programs, and special events, including occasional work outside normal business hours.
- Ability to maintain professionalism, composure, and a positive work environment in all interactions.
Required Qualifications
- Associate’s degree or an equivalent combination of education and relevant administrative experience.
Preferred Qualifications
- Prior experience working in a higher education institution..
