University invites applications for a full-time Executive Assistant/Operations Coordinator in the department of Purchasing. The Executive
Assistant/Operations Coordinator provides high-level, complex, and confidential executive, administrative, and operational support to ensure
effective and efficient management of the Procurement and Auxiliary Services portfolio. This position serves as a trusted partner to the
Associate Vice President, supporting strategic initiatives, daily executive functions, and operational priorities across procurement,
contracts, purchasing operations, and auxiliary services.
This role also plays a critical operational function within campus-wide
purchasing activities. The position supports procurement execution, vendor coordination, data analysis, compliance oversight, and
cross-functional operational continuity for the Mail Room, Print Shop, and Receiving departments. The Executive Assistant I/Operations
Coordinator supervises and mentors student workers and contributes to process improvement initiatives that enhance efficiency, transparency,
and service excellence across the division.
Associate degree required, bachelor’s degree preferred. A minimum of 5-7 years of
progressively responsible experience as an executive assistant, senior administrative assistant, office manager, or procurement/operations
support role supporting senior leadership. Exceptional grammar, spelling, proofreading and data-entry skills with strong attention to
detail. Advance proficiency in Microsoft Office Suite and Google Workspace; Experience with ERP systems (Jenzabar preferred). Strong
organizational, analytical, communication, and executive office management skills. Demonstrated ability to manage competing priorities,
exercise sound judgment, and work independently with minimal supervision. Strong understanding of workflow processes, compliance
requirements, and performance standards. Ability to interact professionally and effectively with constituents. High level of discretion,
professionalism, and commitment to confidentiality. Flexibility to work occasional evenings and weekends as operational needs
require.
