Job
Description
Support the Protoplex Director in remaining focused on Protoplex mission and goals by assisting with
coordination and documentation related to research centers/consortia and the Industry Advisory Board. Assist with calendar management by
scheduling meetings, coordinating logistics, and creating agendas. Prepare the Director for meetings and events by anticipating needs and
providing briefings prior to engagements. Provide administrative support via email correspondence, phone calls, letters, and office
requests, ensuring timely and professional responses.
- Develop presentations, proposals, and other materials, and prepare summaries
and routine reports related to operational activities, highlighting key information to support decision making - Serve as a primary
point of contact for Protoplex by coordinating and executing regular meetings with strategic partners, the Industry Advisory Board, and
research centers/consortia members, and acting as a key contact for routine inquiries and requests - Prepare minutes by summarizing
meetings as recording secretary - Maintain official research centers/consortia and advisory board records, exercising discretion when
handling sensitive or confidential information - Plan, coordinate, and staff events and meetings, ensuring each activity receives the
administrative support and logistics coordination needed for success and positivley impacting the quality, timeliness, and effectiveness of
team operations - Manage office needs, place orders, and maintain inventories
- Use a designated One Card to purchase
Protoplex supplies - Maintain purchasing documentation, receipts, reimbursements, and submit statement reports in accordance with
university policy for the Director of Protoplex and office operations - Prepare travel and expense reports for timely reimbursements
- Provide administrative financial coordination in support of Protoplex operations, including assisting with expense tracking,
preparing routine financial summaries, supporting payment processing, maintaining documentation, and coordinating cost recovery activities
in collaboration with the Project Manager and Business Support Analyst - Support recruitment, interview scheduling, and onboarding
activities - Identify administrative process improvements and assist in implementing solutions to enhance operational efficiency
- Exercise judgement and discretion to adapt administrative practices as needed to improve workflow and support Protoplex objectives
- Proactively seek opportunities to take responsibility for ongoing administrative tasks and projects in support of the Protoplex
- Perform other duties as assigned
Minimum Qualifications
Bachelor’s degree or an equivalent
combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is
necessary
Preferred Qualifications
- Strong organizational, analytical, time management, and interpersonal
skills, with the ability to manage multiple priorities while maintaining attention to detail - Demonstrated experience supporting
meetings and events, managing calendars and travel arrangements, preparing agendas, and organization information - Ability to
communicate detailed or sensitive information clearly and professionally - Proficiency in Microsoft Office (Word, Excel, PowerPoint,
Outlook) and PeopleSoft - Ability to quickly learn new computer programs specific to Protoplex needs
- Four years of related
office experience
Anticipated Hiring Range
The anticipated hiring range for this position has been
established as $18.87-$26.87 hourly.
Salary is determined by a variety of factors, including but not limited to, the individual’s
particular combination of education, skills, and experience, as well as organizational requirements.
