Faculty Affairs & Development Coordinator

Position Summary

The Department of Anesthesiology is seeking a highly organized, detail-oriented Faculty Affairs & Development Coordinator to support academic advancement, faculty engagement, and professional development initiatives within the department. This position plays a critical role in managing the annual promotion and tenure cycle, coordinating faculty development programming, overseeing departmental CME activities, and supporting recognition and award processes.



This position will support the Vice Chair (VC) for Faculty Affairs & Development, department leadership, and work closely with institutional offices to ensure seamless execution of faculty-related academic and professional development activities.

Responsibilities:


Promotion & Tenure (P&T) Administration

  • Coordinate the annual promotion and tenure cycle, including timeline development, communication of requirements, and tracking of deadlines.

  • Manage dossier preparation, documentation collection, and compliance with institutional guidelines.

  • Serve as liaison between faculty candidates, departmental leadership, and the School of Medicine Faculty Affairs office.

  • Ensure accuracy, completeness, and confidentiality of promotion materials.

  • Maintain promotion records and historical tracking data.

Faculty Awards & Recognition


  • Oversee development and submission of faculty award portfolios (institutional, regional, and national).

  • Coordinate nomination processes and compile supporting materials.

  • Maintain a database of faculty achievements and recognitions.

  • Track award deadlines and proactively identify eligible faculty candidates.

Faculty Development Programming

  • Plan, coordinate, and evaluate faculty development sessions aligned with departmental goals.

  • Organize junior faculty workshops focused on academic advancement, teaching excellence, research development, and leadership skills.

  • Support mentoring initiatives and faculty engagement strategies.

  • Collect and analyze program feedback to inform continuous improvement.

Continuing Medical Education (CME)


  • Coordinate department-wide CME programming in collaboration with institutional CME offices.

  • Ensure compliance with accreditation requirements and documentation standards.

  • Track CME participation and maintain required reporting.

  • Work closely with the department education office to streamline weekly educational didactics and CME offerings

Visiting Professors Program

  • Manage logistics for visiting professors, including scheduling, travel coordination, honoraria, and event planning.

  • Coordinate itineraries with faculty hosts and departmental leadership.

  • Ensure appropriate documentation for CME and academic reporting.

Administrative Support to Faculty Affairs Leadership


  • Provide direct administrative support to the Vice Chair for Faculty Affairs & Development.

  • Prepare reports, presentations, and faculty metrics dashboards.

  • Support special initiatives, strategic planning efforts, and accreditation activities.

  • Perform additional duties as assigned by the VC and department leadership.

Minimum Qualifications

  • Education: Bachelor’s Degree or combination of education and related experience in lieu of a degree required.

  • Experience: 3+ years of relevant experience required.

  • Strong organizational and project management skills.

  • Exceptional written and verbal communication abilities.

  • High level of discretion and ability to handle confidential materials.

  • Proficiency in Microsoft Office and database management systems.

Preferred Qualifications


  • Experience with promotion and tenure processes in an academic medical center.

  • Familiarity with CME accreditation requirements.

  • Experience coordinating faculty development or academic programming.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

  • This position is based in Charlottesville, VA, and is eligible for a hybrid schedule after probationary period in accordance with UVA’s remote work guidelines.
