Duties &
Responsibilities:

VCU’s Facilities Management Department (FMD) is seeking to hire an hourly
Administrative Assistant to support the day-to-day operations of FM Administration, located at 701 W.
Broad Street, and will work closely with the Director of Staff Operations to provide fiscal and administrative
assistance.



Key responsibilities include (but are not limited to):

  • Support the Building Manager with
    daily tasks
  • Assist with fiscal training and processes
  • Provide support to the Office of the President when needed
  • Facilitate the payment process through RealSource and managing internal billing in AiM (Computerized Maintenance Management System
    (CMMS)) for the office/building
  • Support departmental records management as needed
  • Assist with urgent or short-notice tasks
    and deadlines
  • Provide Records Management support for the department when needed and other support to accomplish short-notice
    deadlines

Additionally, this role requires someone to be in the office Monday through Friday from 8am-5pm. This role will help
cover the front desk during meetings, when FTS personnel are either in meetings or out of the office, will greet visitors, and will answer
all incoming phone calls.



Qualifications:

Minimum Qualifications


  • Excellent communication
    skills
  • Strong organizational abilities and attention to detail
  • Proficiency in typing and filing
  • Experience with
    Microsoft Word and Excel, as well as Google Suite
  • Ability to operate general office equipment
  • Capability to work under
    pressure in a fast-paced environment and meet deadlines when necessary
  • Demonstrated ability to work in and foster an environment of
    respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a
    commitment to do so as a staff member at VCU.

Preferred Qualifications

  • 1-3 years of experience in an office
    setting is preferred

Salary Range: $15 – $20/hr


FLSA Exemption Status: Non-Exempt

Work Days/Hours: Monday-Friday, between the hours of 8:00am-5:00pm


Hours per Week: approx. up to
29 hrs per week
