Job Summary

The Departments of Asian Languages and Cultures and Middle East Studies seek a well-qualified and highly-motivated individual to serve as the Graduate Program Coordinator. These two dynamic LSA departments are centers for the exploration of the humanities in Asia and the Middle East. We offer instruction in more than 15 languages and culture courses that cover thousands of years of history and a full spectrum of content that ranges from religion to food traditions.



ALC and MEs are two distinct departments supported by a group of six to seven shared staff and two department specific staff. The role is hybrid with on-site expectations in Ann Arbor, MI 3 days per week. The Graduate Program Coordinator will primarily focus on managing, providing support, direction, and resources to faculty and students for two PhD and one Masters programs. Specific job duties are detailed below.

Responsibilities*



The position is the primary point of contact for students and faculty regarding the policies and procedures of the programs, milestones, funding and degree completion.

Key Responsibilities:


Graduate Program Student Support (50%)

  • Track progress of approximately 50 graduate students from matriculation to graduation.
  • Communicate with students and faculty advisors regarding program milestones and see that milestones are met by identified deadlines.
  • Work in coordination with Directors of Graduate Studies to plan events related to the graduate programs (Preview Weekend, appreciation events, alumni panels, etc.). Lead orientation sessions and ensure a successful transition to the University of Michigan for matriculating graduate students.
  • Manage the GSI hiring process each term for up to 40 GSIs. This includes working with the Graduate Program Committees to place students into positions, coordinating with LSA HR to post positions and managing the application process, and coordinating all appointment paperwork (including offer letters and fraction calculation sheets).
  • Act as the primary liaison for the departments with Rackham and the College of LSA for all graduate matters.
  • Maintain tracking data for current graduate students and alumni through a number of internal spreadsheets and databases.
  • Maintain and input awards and benefits for graduate students.
  • Assist in the nomination and application process of graduate students for Rackham, internal, or external fellowships/scholarships.
  • Maintain student records and manage the review cycle during the academic year.
  • Report on various aspects of the graduate program to the College of LSA, Rackham, or external entities.
  • Assist in the planning and tracking of program funding each academic year.
  • Participate, plan, and provide support for Graduate Program Committees in collaboration with the Directors of Graduate Studies and Curriculum and Student Services Manager for both departments.
  • Closely monitor graduate student enrollment and grades to meet department and Rackham expectations.
  • Override contact and provide guidance to team members to ensure consistency for graduate courses during registration and start-of-term periods.

Student Recruitment and Communication (20%)


  • Plan and execute recruitment activities to attract diverse and high-quality applicants and/or admits.
  • Coordinate and participate in outreach events such as fairs, information sessions, webinars, and campus tours.
  • Implement initiatives to support student retention by addressing engagement factors.
  • Provide guidance to team members to ensure consistency in recruitment approaches across programs.
  • Maintain applicant records and update all Rackham databases within the admissions process.

Relationship Management (15%)

  • Build relationships with prospective students, alumni, faculty, and partners.
  • Collaborate with internal and external partners to create pathways and enhance applicant pipelines.
  • Serves as primary contact for prospective graduate students, offering guidance on educational planning and program specifics.

Department Student Administrative Support (15%)


  • Oversee the print and online presence of graduate-related subjects, maintaining department, University, and externally posted information.
  • Serve as the point of contact with expertise in email content creation, data integration, and delivery management for current and future students.
  • Update online internal and external websites for the graduate program

This position works closely with the Curriculum & Student Services Manager in tracking funding, determining GSI needs/allocations, and program reporting. The Graduate Program Coordinator also works with the Directors of Graduate Studies to monitor student progress and review program needs or changes.
Required Qualifications*

  • An associate degree or progressively responsible work experience.
  • At least 3-4 years working in an academic department.

  • Proficiency in web-based technologies and command of workplace technology tools. Strong knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Gmail, Google Drive, Google Docs/Sheets). Familiarity with video conferencing platforms such as Zoom and Google Meet and demonstrated motivation to find and use new software to enhance major projects.
  • This position routinely moves promotional materials weighing up to 50lbs to various locations across campus.
