Responsibilities
- Provides high-level, confidential and professional
executive administrative support to the Office of the Senior Vice President of University Community Partnerships and the leadership team to
plan, prioritize and schedule meetings and appointments, making judgement calls on priorities as necessary. Ensures all information coming
in and going out of the Senior Vice President’s office is timely, relevant, professional, credible, and information is acted on
appropriately. Works closely with the UCP leadership team on various projects and priorities. Serves as the Senior Vice President’s delegate
for various approval processes. - Serves as a liaison between the Senior Vice President and USF’s internal and external constituents,
as well as a resource to others, managing the flow of communication.
Screens incoming correspondence and responds/routes as appropriate.
Receives and triages calls and briefs leadership and/or responds independently, as appropriate.
Independently provides relevant and
timely responses to inquiries received, or referred, to appropriate area for action. Explains USF policies and procedures, answers
questions, and independently resolves issues whenever feasible. Keeps appointment calendars for designated administrators, schedules
meetings, conferences, arranges and coordinates administrative and logistical support for travel to meetings and
conferences. - Compose and/or prepare correspondence, memoranda, forms, and reports using appropriate software systems. Perform
statistical calculations on data for reports and
presentations. Accountable for project/program status updates and reporting. Research
and compile a variety of information for projects and programs. Develop and carry out various tasks to assist with needs critical to the
operation of UCP. Demonstrate a broad authority in formulating, recommending, and implementing new initiatives that benefit the outreach,
impact, and efficiency within UCP. - Responsible for ensuring the general day-to-day operation of the unit. May supervise staff and/or
students. Support functions related to event planning, both in terms of small and large events. Works closely with USF administrative and
financial services to coordinate and/or process financial requirements including, but not limited to, purchasing and travel. Coordinates and
manages travel preparation and reimbursement for the UCP leadership, and also works with consultants and guests on travel when needed.
Supports purchasing requirements for the Senior Vice President’s office, utilizing university P-Card. - Perform other administrative
duties as required to support the mission and function of the Office of University Community Partnerships.
