Required Qualifications:


Knowledge of:

  • Basic accounting procedures
  • State and federal guidelines pertaining to payroll


Skill in:

  • Interacting courteously with fellow employees, student workers, and employees of other departments,
  • Microsoft Word, Excel, and Outlook, as well as advanced tools like Microsoft Teams and SharePoint.


Ability to:

  • Understand complex written instructions
  • Compare and verify numbers
  • Perform basic math.

Preferred Qualifications:

  • Prior experience supporting payroll operations, strong attention to detail, proficiency with payroll systems and Excel, and a working knowledge of wage and tax compliance requirements.

Job Description:


The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.


Job Duties:

Customer Service Support:

  • Serves as the first point of contact for the department by welcoming visitors, answering incoming calls, and responding to payroll inquiries.
  • Assists employees by researching and resolving payroll and tax-related questions.
  • Manages incoming and outgoing mail, ensuring timely distribution and delivery.
  • Facilitates employee access to the Customer Service area in JCK 516, where a computer and printer are available for use with the SAP Portal, DailyPay, and Sprintax platforms.
  • Assist employees with the SAP Portal (pay statements and direct deposit), DailyPay (EWA program) and/or Sprintax (tax determination system).

Operational Support:


  • Functions as the departments Time Administrator, overseeing timekeeping processes and ensuring accuracy.
  • Reviews and monitors departmental budget reports to support financial oversight.
  • Manages vendor invoices and service contracts for timely processing and compliance.
  • Oversees procurement of office supplies and maintains inventory.
  • Maintains the departments filing system and ensures compliance with the universitys records retention schedule.
  • Tracks project deadlines, monitors progress, and supports departmental initiatives.
  • Ensures proper functioning of office equipment and coordinates maintenance as needed.


Backup Support:

  • Will serve as a backup for payroll processing, ensuring continuity of operations during absences or peak periods
  • Responsible for properly maintaining and processing payroll records and reports for accounting of salary/wages due, deductions accruals and other payroll functions.
