Program Coordinator for Member Services
Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Two [2] years of full-time progressively responsible experience within a customer service setting. In lieu of a Bachelor’s degree. and Associate’s Degree plus four (4) years of full-time progressively responsible experience. Proficiency working with Google Suite and/or Microsoft Office Suite products. Customer service experience.
Preferred Qualifications:
Experience working and interacting with diverse populations. Experience creating electronic surveys, capturing responses and creating reports. Working knowledge of Zoom, Teams, or similar platforms for meeting setup and troubleshooting issues. Data management experience using Excel, Google Sheets or similar programs.
Brief Description of Duties:
The Osher Lifelong Learning Institute (OLLI) at Stony Brook University provides diverse opportunities for peer-led learning for retired and semi-retired adults aged 50 and older. The Program Coordinator for Member Services is responsible for organizing the weekly workshops for OLLI members each semester. The OLLI Program Coordinator for Member Services will deliver a high level of customer service and provide administrative support including purchasing, scheduling of meetings, and member support. This position provides assistance to, and reports to, the OLLI Head of Programs and Member Relations and works closely with other professional and student staff. The ideal candidate is detail-oriented, flexible, and able to adapt to changing priorities in a fast-paced environment. Strong communication and organizational skills, the ability to multitask effectively, and work both independently and collaboratively are essential.
Member Services:
- Ensure front desk coverage at the OLLI Office while delivering high-quality customer service by interacting with OLLI members in a courteous, empathetic, and professional manner through phone, email, Zoom, and in-person communication.
- Strong interpersonal verbal and communication skills, with the ability to provide clear, timely program information and responsive support to members and external contacts.
- Offer personalized assistance and guidance to OLLI members related to workshop access and technology (e.g. zoom access).
Program Operations:
- Develop a comprehensive understanding of the OLLI program necessary to support OLLI members and the OLLI Head of Programs and Member Relations in realizing successful program outcomes.
- Assist with resolving problems or issues members could be experiencing. Listen attentively to OLLI member concerns, troubleshoot issues, and provide effective solutions that meet their needs and exceed their expectations.
- Assist with Scheduling and event coordination as needed throughout the year. Provide meeting and event support for OLLI OEC and committee activities, including assistance with scheduling, logistics, and catering for annual membership meetings and special events.
Communications:
- Assist with developing and disseminating communications to OLLI members individually and in bulk through email and other platforms (e.g. constant contact), create surveys in Qualtrics, and create Google forms to capture information.
- Data management:
- Supports budgeting, expenditure tracking, and financial reporting by gathering financial data necessary for decision-making to assist the OLLI Head of Programs and Member Relations, OLLI Executive Council, and the Senior Director of Finance and Operations.
Other duties as assigned as appropriate to rank and department mission.

This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
In addition to the employee’s base salary, this position is eligible for $4000 UUP annual location pay, paid biweekly.
