Description
Grays Harbor College is now accepting applications for a Program Coordinator. This position will provide clerical support for the GHC faculty members and instructional programs at Stafford Creek Corrections Center (SCCC). This is done under the general direction of the Program Manager. The Program Coordinator will perform work using knowledge and experience specific to the program at Stafford Creek. They will exercise independent judgment in interpreting and applying rules and regulations, independently advise students, staff, program participants and/or the public regarding program content, policies, procedures and activities and select/recommend alternate courses of action when necessary.

Essential Duties and Responsibilities
Student Enrollment & Registration
- Utilizing DOC Referral List and plan student placement as per DOC Policy
- Prepare enrollment paperwork for new and ongoing Transitions students
- Develop and Maintain Instructional Files
- Conduct Registration appointments with Incarcerated Students (I/S), using DOC systems (Callout/OMNI)
- Timely/accurate data entry of student information into GED Manager, ctcLink and other various college/doc programs
- Maintain testing credentials for program (CASAS Cadre, GED, Accuplacer). Including scheduling, proctoring I/S exams.
- Create testing schedules for GED, CASAS, Accuplacer
- Scheduling Student Programming Appointments for the purpose of assisting I/S with educational goals, transcript reviews, requesting referrals for Programs, Student Advisor and CE Navigator.
- Extensive involvement with students, staff, SBCTC and DOC to carry out program activities, coordinate, schedule and monitor Stafford Creek GHC activities to determine consistency with the program goals.
- Perform complex scheduling including independently prioritizing needs of program clients.
Office Support for Department
- Track student movement within the program and facility, utilizing multiple programs and excel spreadsheets
- Obtain and track student transcripts for both Transitions and
- Track student registrations quarterly
- Coordinate communication email (Kiosk) between instructional staff and incarcerated students and responding to general kiosks messages
- Maintain correspondence with other DOC Facilities
- Attend various college/DOC meetings and report back to the department
- Assist Instructional Staff with updating and maintaining enrollment forms for the program
- Effectively work as a team to execute department needs
- Project, monitor, maintain, initiate and/or approve expenditures on program budgets.
Instructional Lab Coordination
- Provide direct support to students during lab sessions, assisting with coursework, technology, and instructional materials within the classroom.
- Help students navigate learning platforms, software, and lab equipment.
- Reinforce instructor directions and clarify assignments as needed.
- Support diverse learners, including adult learners and those with varying academic or technical skill levels.
- Assist instructors with the preparation and delivery of lab activities in accordance with DOC and college procedures.
- Set up, monitor, and break down lab spaces before and after instruction, ensuring compliance with security and inventory protocols.
- Monitor lab activities to ensure a productive and safe learning environment.
- Support small-group or one-on-one instruction as directed by faculty.
Other Duties
- Occasional monitoring of classroom offenders
- Assist Program Manager with various tasks as needed
- Coordinates with the ED Navigator on student activities
- Communicate to GHC admin the DOC policies and procedures and any necessary trainings and information for faculty and staff regularly.

- High school graduate or equivalent.
- Two years of increasingly responsible clerical experience OR equivalent education/experience.
- Knowledgeable in Word and Excel.
- Willing and able to learn various DOC, GHC and state computer systems.
