Description
The Alexander Blewett III School of Law Program Manager oversees administrative and programmatic functions across four key areas: Student Services, Admissions, Career Development, and Student Groups. This role requires exceptional organizational skills and a commitment to developing expertise in specialized software related to these functional areas.
Examples of Duties and Responsibilities
Student Services Main Desk:
- Provide excellent customer service to students, employees, and general public.
- Coordinate with Student Services Team to ensure coverage of main desk on business days between 8am and 5pm.
- Provide students with general information about the law school procedures.
- Manage various student logistics and administrative tasks, such as the collection and filling of forms, support of exams, study space assignments, and student key management.
Admissions:
- Schedule and prepare itineraries for prospective and admitted student visits, requiring scheduling tours with student ambassadors, approving classroom visits with faculty, arranging meeting with admissions office and planning other activities as requested by the visitors. Train and manage student ambassadors to do the same.
- Collaborate with Director of Admissions and Law’s event team to manage Admissions/Recruiting events including (but not limited to) Information Days, Online Information Sessions, Admitted Students Day and the Introductory Program. Includes scheduling rooms, arranging refreshments, preparation of handouts, etc.
- Manage prospective students, applicants, and admitted students with UNITE (Admissions software), including entering and updating data, sending correspondence, and preparing reports.
- Open files for new students which includes entering student data into the UM database, Banner, and ensuring student files are complete at the time of matriculation.
- Collaborate to complete annual reports on student metrics for both the Registrar and ABA reporting.
- Attend and represent the School of Law at recruitment fairs/events, and law admissions training sessions around the state and region as needed (some travel/weekend work required).
- Manage travel for self and admissions team, including securing airfare, hotels, meals, and recruiting events in accordance with UM travel policies. Prepare all required travel documents (RATTER, etc.) for admissions travel.
- Assist with managing the overall admissions travel, materials, and intro program budget.
Staff Budget Manager for Student Groups (Student Bar Association Groups and Law Reviews):
- Performs all accounting functions such as accounts receivable, accounts payable, and procurement.
- Manages Student Group accounts.
- Conducts regular audits of Student Group cash funds.
- Provides guidance and training to student group leaders.
- Establishes procedures and provides logistical support for executing all types of events.
- Ensures compliance with all applicable fiscal and procurement policies and procedures.
- Provides budget reports, projections, and analysis.
Provide Backup Support during Peaks Times for Career Development:
- Manage job announcements, presentations, resources, surveys, etc. for UM Law within the Career Development Management (CDM) software.
- Provide student and employer training on the use of CDM software.
- Answer incoming calls from employers and students.
- Collaborate to complete and organize two annual on campus interview weekends. Includes advertising the events to employers, posting positions, scheduling interviews, reserving rooms and providing professional service to students and employers (may require some weekend work).
- Assist the Assistant Dean of Career Development with career planning workshops, coordinating logistics and working with guest speakers.
- Assist with gathering and maintaining employment statistics on current students and graduates for annual reporting.
- Publish a Career Development Newsletter, research current student employment data, and create other written materials for promoting and executing placement activities.
- Maintain Career Development resource library, online forms, and bulletin boards.
- Assist Law students with resume/cover letter preparation and review as needed.
- Assist the Director with mock interviews for students.
Minimum Qualifications
- Bachelor’s degree and two (2) years of work experience or any equivalent combination of education and experience
- Self-motivated person with demonstrated ability to organize and prioritize work assignments and multiple deadlines. Ability to exercise considerable initiative.
- Excellent interpersonal/people skills; ability to work independently and as part of a team, exercise judgment, and problem-solve. Includes ability to establish and maintain professional relationships with students, faculty, staff and practicing attorneys.
- Ability to provide strong professional verbal and written communication with tact and diplomacy; handle complex and sensitive tasks with highest degree of accuracy and poise in a highly visible environment; maintain strict confidentiality.
- Ability to assist with the coordination and creation of promotional materials for both admissions and career development.
- Confident in ability to learn and utilize new software packages-specifically, Banner, UMDW, GrizMart, UNITE law school admissions software, and CDM software such as 12-Twenty.
- Ability to plan, organize, promote and execute presentations and events.
- Proficient with MS Word, Excel, internet and Outlook email, PowerPoint, Adobe Reader, scanner, copy machine, multi-line phone.
- This position is required to lift and move objects such as chairs, tables and other equipment related to events.

Compensation Title: Program Manager I
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year
Probationary Period: Six (6) months minimum
