Job Description:

Acting as receptionist for EHS including answering
six lines, routing calls, taking messages, and receiving visitors. Assisting visitors by providing forms, information on parking and other
informational paperwork. Routes calls appropriately in a courteous and professional manner. Takes detailed and accurate messages for staff
and others when unavailable to take incoming calls. Being aware of emergency contacts within the department. Various data entry.



Updates forms and directories as necessary. Maintains a high level of confidentiality when handling sensitive information. Scanning
and uploading approval documents to SharePoint.

Takes detailed information regarding Pest Control problems/issues for on campus and
satellite locations. Answers Pest Control problem calls courteously. Forwards Pest Control information to the appropriate party in a timely
manner. Notifies appropriate personnel of employee absences, specifically with the Pest Control Department.



Handles all incoming and
outgoing mail, making sure it is distributed to the appropriate individuals in a timely manner. Opens and sorts mail as directed by team
members. Responsible for receiving and sending shipments through FedEx and UPS. Distributes faxes as they are received and gives them to
appropriate departments/individuals. Makes copies when needed.

Maintain accurate electronic calendars of EHS staff conference rooms
and several other office-wide calendars. Routinely updates forms in “Receptionist” folder in EHS files and other files as requested.



Ensures that the reception office, conference room, and all common areas of the office are neat and tidy in order to present a
professional image for the office.

Partakes in special projects when necessary, and other duties as assigned to ensure departmental
continuity.


Normal Work Schedule:

Works Monday through Friday from 8am to 5pm


Expected Salary:

Commensurate with education and experience


Required Qualifications:

High school diploma or
equivalent.



Preferred

EDUCATION & TRAINNG:



EXPERIENCE:

  • Two (2) years experience in an office setting and
    answering multiline phones.


KNOWLEDGE:

  • Knowledge of Microsoft Office


SKILLS:

  • Excellent customer service
    skills


ABILITIES:

  • Ability to multitask

PHYSICAL QUALIFICATIONS: None

OTHER QUALIFICATIONS:


  • Must
    be dependable, hardworking, and punctual.
