Randolph-Macon College is seeking a Records Processor to join our Department of College Advancement. Reporting to
the Executive Director of Advancement Services, the Records Processor will play a vital role in ensuring the efficiency and accuracy of
donor support, data integrity, and biographical records. This role is a full-time, 12-month staff position which requires on-campus
presence.
Responsibilities
- This position is responsible for the timely processing of gifts
received by Advancement Services, ensuring they are properly reviewed, documented, and allocated according to donor intent. - Coordinates and oversees the production and mailing of mass direct mail solicitations.
- Monitors the mail and saves all
necessary backup for gifts and fund documentation using imaging solution, in accordance with the College’s document retention
policy. - Works on database projects including but not limited to, the creation of new student and parent records, updating status of
current students and graduate information, updating student withdrawals and transfers, updating constituent attributes, tracking event
attendees, cleaning up of corporate records. - Research various demographic changes and updates constituent records, enters and
updates addresses, phone numbers, employment information, parent/child relationships, company contacts and other information relative to the
College’s constituent and organization records. Scrutinizes the online event registrations to process any demographic updates for the
constituents. - Identifies and utilizes external research tools, such as AlumniFinder, Whitepages.com, and Obitdata.com in order to
verify that data being entered into RE NXT is accurate and current. - Provides key role in coordinating and maintaining electronic
means of communication including alumni webpages; alumni social media accounts including LinkedIn, Instagram, and Facebook, by ensuring the
links are in RE NXT and the data matches. - Provides administrative support to the Vice President for Advancement and the Executive
Director of Development.
Qualifications
- High school diploma or equivalent, plus three years
related work experience required. - A bachelor’s degree is preferred.
- Preference given to candidates with non-profit/higher
education experience. - Candidate should possess strong interpersonal and organizational skills, ability to meet deadlines,
persuasive writing and speaking skills, proficiency and a desire to work with computer databases (specifically Raiser’s Edge NXT) and
Microsoft Office (specifically Word and Excel). - Flexibility and a willingness to accept occasional night and weekend work are
requirements.
