Services

The University of Illinois Foundation (Foundation) is the official
fundraising and private gift-receiving organization
of the University of Illinois (University). It works closely with alumni and friends,
faculty and staff, corporations and foundations, as
well as campus development professionals to create fundraising programs and
opportunities that benefit the University.



The
Representative, Donor Services is the main support to Donor Services operations. This
role contributes to the smooth operation of the
department by providing support and follow-through to staff and management. Acts as liaison
with others and performs various reporting and
organizing tasks such as updating constituent records, completing budgeting tasks for the
department, ordering supplies, and maintaining
departmental communications. Also performs routine administrative functions such as
scheduling appointments, maintaining paper and
electronic files, and providing information to callers.

DUTIES AND RESPONSIBILITIES:


  1. Serves as a
    liaison for both internal and external stakeholders including but not
    limited to UI Foundation leadership and staff, university and
    advancement leadership, and external partners such as donors, service
    providers, and vendors. Acts independently, when possible, to
    facilitate communications.
  2. Coordinates departmental schedules and
    contributes to the smooth operations of the department.
  3. Exhibits excellent customer service as the first point of contact for
    Donor Services phone communications and as a team member for
    UIF phone communications.
  4. Drafts, edits, and analyzes
    communications, documents, and operational items. Prepares, maintains, and
    organizes reports and information based on departmental and
    institutional needs.
  5. Scans and records confidential and secured
    documents and materials, adhering to all data standards for
    storage and maintenance, including the appropriate and timely filing and routing
    of items.
  6. Processes pre-authorized financial
    transactions and monitors budgetary expenditures on an ongoing basis on behalf of the
    department.
  7. Provides budget, communication,
    and extra project support to Gift Planning and Marketing and Communications as
    needed.

REQUIRED
QUALIFICATIONS:

  • Minimum three years of work experience as an administrative professional
    in a fast-paced office
    environment.
  • Strong organizational and time management skills and proven ability to excel in a fast-paced
    objective-focused,
    professional environment with the capacity to routinely manage shifting deadlines and priorities.
  • Proven
    ability to be
    resourceful, handle unexpected situations or challenges, and manage multiple tasks simultaneously while adjusting to changing
    priorities.
    Must possess critical thinking skills and be capable of making independent decisions.
  • Excellent verbal and written
    communication
    skills are necessary to interact effectively with colleagues, clients, and other stakeholders. Attention to detail and the
    ability to
    maintain confidentiality. Strong interpersonal skills, including professionalism, friendliness, and the ability to work well in a
    team.
  • Proficiency in computer applications, including word processing, spreadsheets, and presentation software. Knowledge of
    office
    equipment, such as printers, scanners, and fax machines.
  • High-level proficiency in MS Office suite and the propensity to
    become
    proficient in Blackbaud (or equivalent customer relationship management system) and related technical systems.
  • Exhibits

The starting salary range for this position is projected to be $38,000 – $45,000
per year. While our job postings include
salary ranges, your compensation will be based on your specific experience and qualifications—we’re
not limited by these posted ranges.
