SUMMARY
JOB DESCRIPTION

This is a senior-level administrative support position responsible for coordinating and assisting in planning, organizing, and performing a wide variety of advanced administrative and program support functions. Responsible for coordinating and participating in the administrative functions supporting assigned program(s); assisting in planning, evaluating, implementing, and monitoring progress toward the realization of program goals and objectives; reviewing and revising program procedures to increase efficiency and effectiveness; and providing customer service and support to program-related contacts. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Reports to assigned supervisor.



QUALIFICATIONS
Bachelor’s degree is required. Bachelor’s degree in a related field is preferred. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

One year of related experience is required.


ESSENTIAL JOB FUNCTIONS

  1. Monitors the daily operations and overall progress of assigned program(s).
  2. Assists in planning, implementing, and evaluating program objectives and goals.
  3. Coordinates and assists in planning and organizing logistical details for assigned program activities and/or training, workshops, and events hosted by the department.
  4. Coordinates with other departments regarding assigned program activities.
  5. Assists in promoting departmental services by providing faculty, staff, students, and/or the general public with applicable materials and information.
  6. Serves as primary contact for answering questions and providing ongoing support related to assigned program(s).
  7. Monitors and maintains program budget(s) and inventory. Purchases equipment and orders supplies as necessary.
  8. Maintains database(s) and/or departmental records, to include collecting, verifying, and updating data and/or information related to assigned program(s).
  9. May maintain and update departmental website.
  10. Prepares and analyzes data and coordinates the compilation and distribution of reports related to assigned program activities.
  11. Reviews procedures related to assigned program(s); recommends and implements changes to increase efficiency and effectiveness.
  12. Coordinates and assists with a variety of special projects, as assigned.

NON-ESSENTIAL JOB FUNCTIONS


  1. Assists with processing and filing various departmental records.
  2. May supervise assigned staff, including student and graduate assistants.
  3. Performs other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  1. Knowledge of, or the ability to learn, university policies and procedures.
  2. Organizational skill in managing projects simultaneously while maintaining a satisfactory work product.
  3. Skill in using computer applications including spreadsheet, database, and word processing software.
  4. Skill in completing assignments accurately with attention to detail.
  5. Ability to communicate effectively in both oral and written form.
  6. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  7. Ability to plan, implement, and evaluate program activities.
  8. Ability to identify problems, evaluate alternatives, and recommend effective solutions.
  9. Ability to accurately prepare and maintain records, files, and reports.
  10. Ability to learn office and university-specific software.

SPECIAL INSTRUCTIONS TO APPLICANT

This position will support the faculty program coordinators and reports to the director of the School of Nursing.
