Job Summary

Job Responsibilities:
Manage, reconcile and report on department budget, including financial management, monthly reconciliation. Maintain procurement card account, travel expense reports. Provide administrative and clerical support to department chair including telephone support, general word processing, photocopying, filing, scheduling meetings, distributing mail, maintaining department files, and ad hoc project support. Directly hire, train and supervise student/lab assistants. Collaborate with faculty, registrar, Dean’s office, Human Resources, Accounting/Payroll, shipping/receiving, Facilities Services (keys, office moves, etc). online payroll timekeeping/time card management. Respond to student, parent and community inquiries and requests. Order equipment, instructional materials and office supplies. Maintain chairperson’s schedule and assist with organizing and supporting department events. Process personnel paperwork through online applicant tracking system and related paperwork. Perform all requirements associated with hiring new faculty, adjuncts and student employees. Receptionist: greet/assist students, faculty, staff and visitors. Accept deliveries of packages and supplies. Maintain student files, mail-folders. Process student forms including change of program, application for graduation, drop/add, etc. Register students for restricted sections. Monitor and pursue co-op reports. Process information for graduation/certification. Assist with registration during SVP. Provide support for budget reconciliation for internal and external grants.



Oversee the department’s lab and office computers, monitors, printers and servers. Maintain and track inventory and equipment. Ensure that labs are properly stocked with supplies. Maintain lab reservations system. Collaborate with NTID’s Technical Services Department on new software and hardware upgrades and the department’s file service and external vendors. Load, upgrade and maintain software packages on the department’s labs and office computers. Ensure the upgrades of software are current. Monitor swipe access.

  • Budget – make all department related purchases, and manage procurement card purchases. Process all journal entries/purchase orders/software orders/balance account lines/PCM’s. Reconcile monthly budget statement.
  • Assist students/staff with daily requests for help. i.e. registration, copier problems, supplies requests, office problems, building problems, class lists, etc. Process all student related forms. Prepare all academic action letters, probation, suspension, dean’s list and input action into acadmic online system. Coordinate and schedule team meetings with students/faculty/counselors.

  • Hire, train and supervise student assistants for office and computer labs. Enter all students’ timecards (approx. 10-12) in online time keeping system and perform supervisor signoff for these students
  • Maintain Chairperson calendar and make appointments as needed and telephone coverage.
  • Maintain all department files and mail folders. Maintain departments’ instructional supplies.
  • Provide budget and personnel paperwork support for department faculty with internal and external grants. Prepare all adjunct/overload contracts and related documentation.
  • Plan/organize/pick up all food and beverages for all department meetings and events (i.e. department meeting, graduation party, coop meetings, etc.)

Required Qualifications:
Education/Experience:


  • Associate’s degree or equivalent experience-Secretarial Science/Administrative Support
  • Two (2) years or more of related experience


Skills :

  • Strong computer skills and proficiency with internet applications
  • Microsoft Office and Adobe applications
  • Bookkeeping/accounting skills, preferably using Oracle
  • Able to work well with multiple people requesting services
  • Able to multi-task and meet deadlines
  • Self-initiative, self-direction, attention to detail and excellent organizational skills
  • Skill in supporting social media activities
  • Strong attention to detail, follow-through, and problem solving
  • Team player
  • Strong interpersonal skills
  • Adaptable, flexible and can handle change
  • Experience with in-house communication/marketing materials such as meeting notes, flyers, graphic design and digital graphical style
  • American Sign Language skills or willingness to learn in order to be able to communicate effectively with a wide range of prospective deaf and hard of hearing students and deaf/hard of hearing and hearing individuals
