Administrative Duties
- Serve as subject matter expert and provide training to team members, as needed
- Provide departmental administrative support, including reception, mail and phones.
- Serve as main contact for assigned areas for work orders, fleet vehicle requests, and parking permits.
- Respond to IT related duties: for example, security and card key access; listservs; software updates; review web content for accuracy, etc.
- Maintain accurate records for department per requirements.
- Oversee and distribute departmental communications, as needed.
- Schedule meetings, Zoom/Teams calls, create room reservations, etc.
- Coordinate Event planning (speakers, refreshments, communications, etc).
- Maintain meeting minutes.
- Coordinate and/or book travel.
- Process purchase requests, as needed Receive physical goods.
- Facility Management processes: Coordinate office space changes for employees, physical key access, etc.
- Provide support for data requests and reporting.
Coordinate hiring process
- Serve as subject matter expert and provide training to team members, as needed.
- Support the recruitment process (interviewing, scheduling, etc).
- Post job openings and create new hire requests.
- Communicate with HR and search teams throughout hiring process.
- Ensure all paperwork is accurate and completed to turn into HR timely (screening sheets, interview questions, interview reports, contracts, agreements, references, etc).
- Responsible for managing new employees onboarding checklist and serve as liaison for HR dept status inquiries or requests.
Provide support for asset management and inventory processes
- Serve as subject matter expert and provide training to team members, as needed.
- Departmental asset management: track supplies and equipment inventory; affix inventory tags; report equipment moves; proper disposal of items; and maintain asset compliance.
- Complete annual inventory and insurance processes.
Academic support
- Serve as subject matter expert and provide training to team members, as needed.
- Provide departmental academic support.
- Course/classroom scheduling, waitlist management, and course permits.
- Provide support programmatic reviews and accreditation processes for assigned units.
- Administer student feedback surveys.
- Process departmental specific academic records requests and data entry.
- Assist with scholarship process.
- Manage training requirements oversight for department/program.
- Support enrollment processes.
Support the overall success for the department/college.
- Providing backup assistance as needed for team members.
Work Schedule: Full-time, 12-month, Non-Tenure Track Staff Position
Hiring Range: $31,824-$56,500
Pay is based on several factors, including budget, labor market, prior experience, skills, knowledge, abilities, education, licensure and/or certification and other business considerations.
Minimum Qualifications:
High School Diploma or GED with at least 5 years of experience in an administrative role.
Preferred Qualifications:
Associate or Bachelor’s Degree
