Description of Job Duties

Job Summary:

The Student Financial Services Coordinator’s primary duties are to facilitate the financial aid process by ensuring accurate documentation, timely processing, and efficient communication.


Essential Duties & Responsibilities:

  • Assist students with inquiries related to financial aid programs, eligibility, and application procedures.
  • Provide guidance on completing financial aid forms, and other required documentation.
  • Assist in the administration of scholarships, grants, and loan programs.
  • Stay updated on federal, state, and institutional financial aid programs and policy changes.
  • Supervise and report monthly accumulated times for student employees.
  • Review and verify financial aid applications for completeness and accuracy.
  • Input and maintain accurate student information in the financial aid database.
  • Maintain budget records process including preparation of purchase orders.
  • Collaborate with other departments to ensure seamless integration of financial aid information.
  • Communicate with students through various channels, including email, phone, and in-person meetings, to provide updates on their financial aid status.
  • Disseminate information about financial aid policies, deadlines, and workshops.
  • Organize and maintain physical and electronic student files, ensuring compliance with privacy regulations.
  • Provide excellent customer service to students, parents, and other stakeholders.
  • Resolve issues and inquiries efficiently and professionally.
  • Assist with other staff efforts to maximize office effectiveness.
  • Perform other work-related duties as assigned.


Work Setting:

  • Reports to the Director of Student Financial Services.
  • Expectation of on-campus presence with attendance and punctuality.
  • Promote personal safety, safety procedures, and a safe work environment.
  • Employment at will.
  • Full-time status.
  • 12-month appointment.
  • Non-exempt.

Education and Experience

Minimum Requirements:

  • Strong written, verbal, and grammatical skills.
  • Good communication skills and interpersonal skills.

Preferred Qualifications:


  • Previous student financial aid, administrative, banking, or customer service work experience.
  • Such alternatives to the above qualifications as the President of SWOSU or their designee may find appropriate.


Competencies:

  • Ability to multi-task, organize, manage time effectively, and keep tasks appropriately prioritized.
  • Ability to work with, assist, lead, and take directions from others in the interest of operating the Financial Aid Office to its optimal efficiency.
  • Must be able to communicate effectively with all staff, students, faculty, and visitors in sometimes stressful situations.
  • Work cooperatively and respectfully with both internal and external contacts.
