Summary

RISD Continuing Education (CE) seeks a Temporary Academic Resource Coordinator to support digital and physical assets
used to program and support the learning experience for students. This role is based in Providence RI, with occasional work at RISD’s
property in Barrington, RI. The role may support programs across CE’s Children, Youth, & Pre-Collegiate (CYP) and Adult portfolios. In
collaboration with CE’s Programming and Operations teams this role interfaces with staff, instructors, and campus partners to ensure
physical supplies, online learning management pages , and other resources are reviewed, organized, and ready for class.

We seek
organized and detail-oriented candidates who can work independently and manage a high volume of tasks. Candidates should be comfortable with
moving materials to different locations on campus.

Essential Functions:

Digital Resources



Pre-Program

  • Support course preparation tasks for RISD Pre-College. This primarily involves monitoring and
    advancing the completion of course builds in Canvas, the learning management system. Tasks include, but are not limited to:



    • Assisting with reviewing and collecting course outlines.

    • Assisting with finalizing supply lists and importing them
      into Canvas.


    • Verifying that syllabi are uploaded correctly into each course shell.

    • Reviewing each course
      shell for completion against a checklist.


    • Track and document errors. Collaborate with the Associate Director, CYP to follow
      up with instructors to complete course shells prior to student access to courses..


  • Assisting with Nature Lab
    booking requests.


  • Flag any issues with course builds on Canvas.

  • Communicate instructions, reminders, and
    revisions needed with instructors through a shared Operations inbox.


  • Assisting Operations Specialist with general digital
    operations work, including but not limited to event documentation, managing various spreadsheets (facilities, work orders, catering), and
    edits to Destiny course builds.

  • Support Adult Extension and Summer Intensive Program Management teams with reviewing and
    implementing instructional design materials for their courses and programs. Specific examples may include: Canvas builds and demo
    creations.



  • Support CYP and Adult Programming and Operations teams with other digital academic resources including developing
    instructor training materials, mapping processes into a visual guide, and reviewing basic content submitted as part of course builds.


Physical Resources


Support RISD Art Camp and Teen In Person supply coordination including

  • Collaborating with the Program Manager and Operations Specialist to support supply management.


    • Prepare and help
      distribute supply list files for courses

    • Support the supply list review process


    • Assist in instructor follow
      up and reminders

    • Help determine purchasing needs


    • Coordinate with Operations team to order required
      supplies

    • Receive and organize purchased supplies


    • Assemble & deliver course supplies to different program
      locations

    • Monitor supply use & report any purchase needs during program


    • Breakdown & organize supplies after
      program completion

    • Inventory supply closets after program completion




  • Support different, sometimes
    simultaneous, aspects of programs that take place during different terms (Spring, Summer, Fall). This includes:

    • Maintain and
      monitor supply usage and necessary refreshes.


    • Work with seasonal staff to onboard and hand off items during certain parts of
      the supply cycle.

    • Work with temps and Program Managers to ensure that all classroom resets of program-wide and
      course-specific supplies happen on a weekly/daily basis.


    • Transfer Fall supply details to the CE Operations and Programming
      teams.


  • Participate in any debrief conversations.



  • Maintain ongoing communication with
    vendors, CE finance, and the RISD Store.

  • Support Adult programming, as needed, with room and supply related issues and
    tasks.


  • Support Summer Pre-College supply-related needs, similar to teen and camp programming, as needed.


Required Knowledge/Skills/Experience


  • Associate degree or equivalent combination of education and experience
    required.

  • Experience navigating complex administrative processes and prioritizing multiple tasks.


  • Experience
    working with databases and proficiency with technology required, with preference given to experience with learning management systems such
    as Canvas, and Google Suite.

  • Ability to stay highly organized when reviewing high volumes of data across multiple platforms
    and from multiple sources.


  • Strong communication skills and an ability to create clear and concise requests. Ability to
    maintain a positive rapport while implementing accountability processes.

  • Innovative and solution-oriented, able to work
    independently and as a part of a highly collaborative team.


  • Demonstrated commitment to working with a diverse population of
    students, instructors, and staff.
